ABOUT THE ROLE



The

Visitor & Front Desk Associate

is the first point of contact for Co. Innovation Centre and plays a key role in ensuring a welcoming, professional, and secure environment for all members, guests, partners, and service providers.

This entry-level role supports day-to-day front desk operations, visitor verification, safety processes, and general administrative tasks that help maintain the smooth operation of a busy innovation hub.

KEY RESPONSIBILITIES



1. Visitor Management & Access



Greet, verify, and sign in all visitors following COIC's visitor access and safety procedures. Issue visitor badges and ensure all guests are directed or escorted appropriately. Monitor front entry activity and maintain awareness of guest flow into the Centre. Support adherence to access protocols, escalating concerns to the Operations team when required. Maintain logs for contractors, vendors, VIP visits, and after-hours entry.

2. Front Desk & Member Support



Serve as the first point of contact for members, guests, and service providers. Respond to inquiries via the main entry system, phone lines, and general COIC email inboxes. Support member and visitor questions related to shared spaces, amenities, and general information. Maintain an orderly, welcoming, and professional front desk and reception area. Assist with issuing keycards, welcome materials, and first-day guidance for new members.

3. Office Administration



Manage COIC office supply inventory and ordering. Sort and distribute incoming mail and packages for the COIC administrative team and member companies. Provide administrative assistance such as filing, document preparation, and routine data entry. Help maintain internal procedures, manuals, and checklists, suggesting improvements where needed. Support operations staff with coordinating service calls, contractor arrivals, and facility updates.

4. Event & Space Support

(if applicable)

Assist with light event setup tasks such as room readiness, signage, and greeting participants. Monitor meeting room bookings and ensure shared spaces are reset and maintained throughout the day. Provide support for tours of the Centre when required.

Qualifications



Previous experience in reception, customer service, or administrative support preferred. Strong communication and interpersonal skills with a welcoming and professional demeanor. Ability to multitask, stay organized, and manage a steady flow of visitors and inquiries. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); comfort with digital systems. Demonstrated sound judgment in handling visitor and access-related situations. Interest in innovation, technology, or entrepreneurship is considered an asset.

Eligibility Requirements



Canadian citizen or permanent resident 19+ years of age
