Job Summary

The UBC Department of Medicine's Administrative Office currently consists of eighteen divisions overseen by Division Heads and each hospital has a site-specific Division Head. The Vancouver Internal Medicine Program Manager interacts on a regular basis with 29 site-specific Division Heads. All of these sites are involved in ongoing resident teaching.

The Internal Medicine Residency Training Program currently consists of over 200 trainees in various stages of training throughout the province.

The Vancouver Internal Medicine Program Manager is responsible for the day-to-day administration of the postgraduate education program at the Vancouver site, supporting over 140 residents. The role provides guidance to the Program Director, faculty, residents, and staff, contributes to the development and maintenance of program policies and procedures, including drafting new policies and oversees recruitment and application processes for resident appointments. The Manager ensures administrative systems are in place to support curriculum delivery, evaluations, and accreditation requirements, manages program budgets and resident activity funding, documents and tracks remedial cases, and monitors rotation capacity across the Lower Mainland while working with faculty and health authority partners to expand training opportunities as needed.



Organizational Status

The Vancouver Internal Medicine Program Manager reports directly to the Provincial IM Program Manager and takes work direction from the Program Director of Postgraduate Education and Senior Education Manager.



Work Performed

Postgraduate Medical EducationLead the development and implementation of program improvements, with a focus on curriculum planning and delivery within the Internal Medicine Postgraduate Program. Oversee the Master rotation schedule and ensures alignment with program requirements and accreditation standards. Collaborates with faculty and site-specific administration across the Lower Mainland to expand and sustain program training opportunities and electives. Direct annual recruitment and selection processes for IM residents and Sponsored Trainees, Including CaRMS coordination and interview oversight. Guides the planning and administration of major program events, such as orientation, retreats, and resident development activities. Oversees assessment and evaluation systems for 200+ residents and external rotators ensuring requirements are met for progression, remediation, and completion. Ensures that a robust database is maintained to ensure residents who have disruption in their training meet their program competencies while factoring in various resident leave types, remediation contracts, etc. Participates in national and institutional committees, including the Canadian Internal Medicine Program Administrators (CAIMPA) and internal Medicine governance committees.

AdministrationDevelops and maintains policies and procedures for the Vancouver Internal Medicine, ensuring alignment with PGME policy and Resident Doctors of BC Collective Agreement. Manages program staff including recruitment, onboarding, training, evaluation conflict resolution. Oversees program operations to ensure delivery of educational activities and efficient use of resources. Manages all of the Vancouver Program's operating budgets including operating budgets, forecasting, allocation of expenditures, and discrepancy resolution.


Consequence of Error/Judgement

As the largest education program in the Faculty of Medicine, the success of the Department of Medicine's Education Office is essential for meeting the identified needs of the Internal Medicine Postgraduate Program and the provincial health care sector. The position must exercise judgment and initiative in decision making. Errors could result in loss of valuable physician time, productivity, inadequate planning for key activities, and compromise Departmental integrity and growth. A high level of confidentiality and security is required in dealing with resident concerns, faculty evaluation, and development and storage of examinations. Errors in judgment will impact faculty development, reputation, and program quality. Poor planning could result in failure to meet program objectives. The individual will be required to work independently and will need to exercise judgment in the development of relationships, program development and management. Failure to delegate work appropriately and maintain a high level of accuracy could threaten future accreditation, result in loss of valuable physician time; result in resident performance issues on the wards.



Supervision Received

Works independently exercising significant discretionary judgment and tact. Reports directly to the Provincial IM Program Manager. Takes work direction from the Program Director of the Postgraduate Education Program and Senior Education Manager.



Supervision Given

Manages 2 full time program coordinators (M&P) and 2 Senior Program Assistants (CUPE 2950).
Acts as an information and directional resource to 17 divisional support staff in certain aspects of the Core IM Program as required.



Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
Bachelors' degree in Education. Minimum of four years' experience or the equivalent combination of education and experience. Experience in program management an asset. Experience as a manager working in a union environment an asset. Ability to foster the long-term learning and development of staff through coaching, managing performance, and mentoring. Ability to identify, obtain, and effectively manage organizational resources. Ability to communicate effectively verbally and in writing. Ability to approach interactions with an awareness of sensitive issues. Ability to provide quality service to customers in a courteous, patient and prompt manner. Ability to develop and maintain cooperative and productive working relationships. Ability to work effectively independently and in a team environment.
