NATURE AND SCOPE




The Thorpe Recovery Centre seeks an organized and detail-oriented Unit Clerk/Scheduler to support daily operations within our healthcare environment. This position plays a critical role in maintaining efficient administrative processes, ensuring accurate communication, and supporting both clients and medical staff. The Unit Clerk/Scheduler is responsible for managing client documentation, coordinating scheduling, and maintaining records in compliance with healthcare regulations. Strong organizational skills, discretion, and the ability to work in a fast-paced environment are essential for success in this role.





RESPONSIBILITIES AND DUTIES




Manage client admissions and discharges, ensuring all required paperwork is completed accurately and filed appropriately.

Maintain and update client charts, medical records, and electronic health records in compliance with confidentiality requirements and healthcare regulations.

Serve as a primary point of contact for clients, families, and staff--answering phones, directing inquiries, relaying messages, and providing timely information.

Coordinate scheduling for client appointments, assessments, tests, and procedures.

Schedule and adjust nursing shifts, including coverage for call-ins, ensuring adequate staffing.

Track and follow up with the pharmacy regarding medication orders, refills, and discrepancies.

Prepare, print, and update intake packages for incoming clients.

Manage incoming and outgoing mail and distribute to appropriate departments.

Monitor, order, and maintain medical and office supply inventory to ensure readiness for client care needs.

Greet clients and visitors, directing them to appropriate areas and assisting with intake processes.

Transcribe written medical orders from healthcare staff into the computer system accurately.

Coordinate the flow of information between healthcare professionals, departments, and external providers.

Assist with other administrative or clerical duties as assigned by leadership.

QUALIFICATIONS, EXPERIENCE AND SKILLS




High school diploma or equivalent is required; post-secondary education or certification in medical administration, a Unit Clerk certificate, or a related field

Minimum of one year of administrative experience in a healthcare or clinical setting preferred.

Familiarity with medical terminology and healthcare documentation standards.

Proficiency in using healthcare management systems and Microsoft Office Suite.

Strong organizational skills with the ability to prioritize multiple tasks effectively.

Excellent interpersonal and communication skills to work collaboratively with staff, clients, and families.

Proven ability to maintain confidentiality in accordance with privacy laws and organizational policies.

Ability to work under pressure and adapt to changing priorities in a fast-paced environment.

Scheduling experience, particularly with nursing or healthcare staff, is an asset.

Will be required to obtain a Criminal record Check with Vulnerable sector check upon hiring and every 2 years of employment. All employees are required to complete Naloxone training, along with other mandatory trainings, within their first three months of employment
