Position Overview
We are seeking a dedicated, detail-oriented
Treatment Concierge
to join our team. This pivotal role serves as the bridge between our clinical team and patients, ensuring every patient enjoys a seamless experience from initial contact to post-treatment follow-up. The ideal candidate will combine excellent communication skills with financial literacy to help patients understand their treatment options and navigate insurance considerations.
Key Responsibilities
Patient Experience & Onboarding
Serve as the main point of contact for patients throughout their treatment journey
Execute our in-person GREAT Call process, building rapport and educating new patients about our office operations and procedures
Provide comprehensive financial guidance, explaining insurance processes and patient responsibilities
Introduce and review our Welcome Package and consent forms with new patients
Coordinate with dental assistants during the new patient examination process
Treatment Coordination
Conduct post-exam consultations to explain treatment plans, either in-person or via scheduled Zoom calls
Maintain a conversion rate goal of 80% from consultations to booked treatments
Book follow-up appointments and ensure patients remain active in their treatment journey
Coordinate referrals to specialists when needed
Follow up with staff to ensure specialty materials are ordered for upcoming appointments
Financial Responsibility & Patient Education
Educate patients on insurance limitations and personal financial responsibility
Ensure patients understand the importance of verifying insurance coverage before appointments
Coordinate with the Office Manager to implement effective pre-appointment reminders about financial policies
Obtain signed financial consent forms before treatment
Work to minimize billing confusion and financial disputes
Patient Reactivation
Track and categorize the status of all patients
Maintain contact with unappointed patients through follow-up calls, texts, and letters
Implement reactivation strategies to bring patients back into active care
RequirementsQualifications
Dental administration experience strongly preferred
Knowledge of dental insurance processing and billing
Experience with patient communication and relationship management
Proficiency with dental practice management software (Curve Software experience is a plus)
Excellent organizational and multitasking abilities
Strong attention to detail
Exceptional verbal and written communication skills
Technical Skills
Proficiency with Google Workspace (Calendar, Docs, Sheets)
Experience conducting professional video calls (Zoom)
Comfort with digital communication tools and patient management systems
Basic understanding of financial processes and insurance verification

Pay: $26.00-$30.00 per hour
