About the role:
Reporting to the Payroll Manager, the Travel Coordinator is responsible for booking all travel related accommodations (flight, hotel, vehicle rentals) for our field teams. They will also be responsible for the tracking and reporting of all travel expenses on a monthly, quarterly, and annual basis.
A little more about the role and responsibilities:

  • Prepares travel itineraries and distributes travel arrangements, hotel accommodations and schedules to all appropriate staff (e.g., field, and corporate employees)
  • Obtains approval from leadership for travel requests and expenses that exceed established limits
  • Advises travelers of and assists with any need for specialized travel documents such as visas or passports
  • Monitors and facilitates the use of company air travel credit cards, frequent flyer programs, and other applicable rewards and loyalty programs
  • Maintains receipts and enters them into our expense platform
  • Reconciles expenses as needed
  • Researches and compares available travel and hotel accommodations to identify the best available option for each travel need
  • Works with Payroll Manager on continuous improvements of processes and policies to adapt to business needs
  • Performs other related duties as assigned

Required Skills:
  • Proficiency in MS Office Suite - Excel, Word, Outlook etc.
  • SAP Concur
  • Egencia experience is an asset
  • Payroll experience is an asset
  • Self-starter who can work independently or in groups
  • Ability to multitask
  • Strong attention to detail
  • Excellent interpersonal, organizational and time management skills
  • Excellent communication skills and ability to work with internal stakeholders on payroll and expense issues
  • Effective problem solving and time management skills with a positive and supportive attitude
  • Highly adaptive, organized, and detailed orientated
  • Ability to work in a fast-paced environment
