Position Summary
The Tourism, Ticket & Corporate Hosting Coordinator would be responsible for providing primary support to the Corporate Sales team with a focus on sales tracking and reporting, ticket system support, package fulfillment and associated accounting functions. This role would also offer secondary support to the Premium Seating Sales team focused on ticket system management and ticket resolution.
This position reports into the Sales & Marketing Operations Manager and involves liaising with existing and potential clients of the Calgary Stampede, building sales and marketing material, and managing and prioritizing communications for both internal and external use, which support the strategic goals and objectives.
This is a seasonal position during Stampede June 16 - August 1, 2025.
Responsibilities
Responsibilities of this role include, but are not limited to:
Working closely with the Corporate Sales, Tourism and Premium Seating teams, managing inventory of tickets and packages and support reconciliation and fulfillment and ticket resolution
Perform administrative duties including maintaining client database, shipping packages, scheduling meetings, ordering items for package fulfillment.
Support the Tourism Specialist with 10-Day FAM preparation, including fulfilling packages, processing ticket requests, assisting in hosting guests when required, guiding guests to scheduled events and tours as needed, and providing administrative support.
Assist with accreditation tasks such as pass pick-up and collecting waiver signatures.
Develop sales and marketing materials including sales collateral, promotional items and digital assets.
Support in the development of reports and presentations as required.
Lead and execute special projects working closely with internal teams, where required.
Other duties as required.
Qualifications
The ideal candidate will be proactive, optimistic and have worked in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:
Current post-secondary student or holds a degree or diploma in a related field such as marketing, tourism, or business administration.
Relevant experience in a marketing and/or partnership marketing role
Ability to build and maintain professional relationships both internally and externally.
Exceptional communication, comfortable with public speaking, customer service and time management skills with the ability to prioritize and keen attention to detail.
Demonstrate resilience and adapt to evolving plans and strategies; you have the ability to find solutions along with the internal team and know when to escalate for resolution.
Highly coachable
Thrive in a fast-paced environment where every day is different; you are committed and excited by the festival industry where certain times of the year require greater commitment to work.
Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint and Outlook) and database applications.
Experience using Momentus and CRM databases is an asset.
