About Us
Roots and Tales is a compassionate, family- and child-centered psychotherapy clinic dedicated to promoting emotional well-being and community connection. Our multidisciplinary team--comprising psychotherapists, occupational therapists, speech-language pathologists, and behaviour analysts--works collaboratively to support children and families through holistic and creative approaches.
We are currently seeking a Volunteer Program & Marketing Coordination Assistant--an enthusiastic and motivated individual who would like to learn how a therapeutic clinic operates behind the scenes. This role combines program coordination and creative marketing, offering hands-on experience in both areas under the supervision of the Head Project Manager.
Role Overview
The Volunteer Program Coordinator will assist the Roots and Tales team with the planning, coordination, and administration of therapeutic and community-based programs. Volunteers will gain insight into clinic operations, client scheduling systems, communication with families and therapists, and the process of launching new programs and events.
In addition, the role involves creative contributions to clinic marketing--designing posters and flyers, coordinating email communications, and supporting outreach efforts to promote our programs and initiatives.
Key Responsibilities
Support coordination of therapy and community programs (e.g., social skills groups, summer programs, parent workshops)
Assist in scheduling, communication, and follow-up with families and clinicians
Help manage clinic operations, including documentation and activity planning
Contribute to promotional materials and program updates (e.g., posters, flyers, newsletters)
Assist in developing and scheduling email and social media outreach campaigns
Participate in meetings and brainstorming sessions with the multidisciplinary team
Assist in organizing seasonal events and community outreach activities
Learning Opportunities
Hands-on experience in clinic and program management
Exposure to multidisciplinary teamwork and program design
Mentorship from therapists and the Head Project Manager
Training in communication, marketing, and administrative tools (e.g., Zanda, Outlook, Canva)
A reference letter and professional experience upon successful completion of the placement
Qualifications
Interest in psychology, education, marketing, or community programming
Strong communication and organizational skills
Creative mindset with basic design ability (Canva, PowerPoint, or similar tools)
Dependable, detail-oriented, and comfortable working both independently and collaboratively
Familiarity with Microsoft Outlook, Google Suite, or email marketing tools (asset)
