The Program Assistant Volunteer provides essential administrative and operational support to the Program Coordinator and broader team at Single Women in Motherhood (SWIM). This role ensures smooth day-to-day functioning of community programs by handling logistics, communications, scheduling, and participant support -- allowing our programs to run like a well-oiled machine (minus the oil spills).
Key Responsibilities:
Provide administrative support for program activities, including preparing documents, updating databases, and maintaining filing systems.
Schedule meetings, workshops, and events; coordinate logistics (venue, tech setup, materials).
Communicate with participants via email, phone, and social media to provide info, send reminders, and respond to inquiries.
Assist with tracking attendance, program data, and participant feedback.
Support the Program Coordinator in organizing community outreach efforts and distributing promotional materials.
Help manage office supplies, program materials, and inventory.
Record and circulate meeting notes, and follow up on action items.
Maintain confidentiality of client information and act in alignment with SWIM's values.
Qualifications:
Completion of secondary school is required.
Post-secondary education in Office Administration, Social Work, Community Services, or a related field is an asset.
1-2 years of experience in an administrative or program support role, preferably in a nonprofit or community setting.
Proficiency with Microsoft Office Suite, Google Workspace, and virtual meeting platforms (Zoom, Teams).
Strong organizational and time-management skills with attention to detail.
Excellent interpersonal and communication skills.
Ability to work independently and as part of a collaborative team.
