Within Student Services, Accessibility Services (AS) and Deaf and Hard of Hearing Services (DHHS) are specialized departments dedicated to supporting students with disabilities. The departments facilitate and promote the ongoing development of an accessible learning environment, which provides students with disabilities the opportunity to participate fully in all aspects of campus life



The

Test and Exam Assistant is a full-time sessional

position responsible for assisting the Test/Exam Specialist with the scheduling of tests and exams for students registered with Accessibility Services. This will include inputting test booking data, organizing test/exam equipment needs, and preparing test/exam packages. Duties will also include invigilating tests/exams and assisting students and instructors with their test needs.


Note:

a sessional position is a continuing position which is subject to seasonal lay-off.


Responsibilities:




Assist in the administration of AS accommodated tests/exams. Scrutinize submitted test/exam booking requests for missing information, correct dates and times or scheduling conflicts. Follow up on discrepancies by contacting the student and instructors. Contact faculty members and department assistants to obtain additional information for requests. Maintain a current, well-organized and prioritized system regarding test/exam booking requests, relevant information and the status of tasks. Communicate changes in booking requests that affects upcoming room and staff scheduling in a timely manner. Contact instructors who have not submitted tests/exams a minimum of one day prior to the scheduled test/exam sitting. Log incoming tests/exams as received, paying close attention to details and delivery instructions Assist in the formatting of electronic test/exam files into an accessible format. Monitor the department's general e-mail account. Accurately print, collate and assemble the appropriate test/exam, invigilation reports and test writing. Update printed test/exam packages and information for invigilators in a timely fashion should change to test or scheduling information be made. Complete administrative tasks. Refer any student requests for changes to their test/exam accommodations to an Accessibility Advisor. During peak exam periods: + Help direct students to their test sitting location.
+ Invigilate exams where needed as well as act as a scribe/reader when needed.
+ Assist AS and invigilation staff in invigilation-related tasks
Wherever possible (especially during peak periods), assist invigilators: + With post-exam filing, printing and data entry.
+ In locating any information, supplies or equipment that they are unable to find on their own
When acting as a test/exam invigilator maintain the integrity of the exams to ensure that no academic misconduct takes place and, the confidentiality of services by safeguarding the specific names and information of students as well as the test/exam questions themselves. As an invigilator either work one-on-one with a student who needs more direct assistance, or with anywhere from one to ten students simultaneously writing independently (students are writing different exams, with different start and finish times and varying test accommodations). Maintain and file an Invigilator Report/log of each test/exam invigilated. Work, problem-solve and document any issues that arise, given the knowledge of policies, precedents, procedures and supplies available. Become familiar with the roles of each of AS permanent staff members and the most frequently accessed services/programs/accommodations to answer any general inquiries. Assist the AS Administrative Assistant with departmental tasks.

Qualifications:




Minimum High school completion, some University courses preferred. Undergraduate degree (especially from UWinnipeg) is an asset. Proven ability to work successfully in a fast-paced office environment Organizational and clerical skills (data entry, word processing, filing, collating, photocopying) are required (minimum 1-year relevant experience). Proven ability to meet deadlines with minimal supervision. Previous experience working with youth or adults with disabilities preferred. Previous experience working in a post-secondary institution (particularly UWinnipeg) in Student Services is preferred. Knowledge of issues and struggles in terms of individuals with disabilities or chronic medical conditions is an asset. Experience with software database Clockwork is an asset. Work experience in an Accessibility Services environment is an asset. General working knowledge UWinnipeg Accessibility test services is preferred. Familiarity with a variety of campus resources available to students, especially Student Services areas and external community resources, is preferred. Knowledge of the University experience for students with disabilities and other accessibility issues, including barriers, issues and opportunities. Must be detail-oriented and able to work with a high degree of accuracy. Should be familiar with some types of adaptive software, also comfortable with learning and becoming proficient at a new types of software programs (Clockwork). Well-developed written and oral communication skills, able to effectively communicate with faculty, support staff, students and the general public. Able to demonstrate skills with programs such as Word, Excel, etc. Excellent technical skills an asset due to the variety of adaptive equipment and software accessed by students. Must be able to work co-operatively with members of the Department, Student Services personnel and the University community. Responds effectively to crisis situations with tact and diplomacy. Able to manage several activities simultaneously. Demonstrates patience, flexibility, fairness and sensitivity. Must have a high level of personal integrity and initiative. Must be able to maintain a high level of confidentiality with student information. First Aid, CPR, and/or ASL (American Sign Language) skills are an asset.

An equivalent combination of education, experience, skills, knowledge and abilities may be considered.




Condition(s) of Employment:




Must be legally entitled to work in Canada. Some flexibility in the work schedule during peak periods may be needed. Must be able to work on site, in-person.

The salary range for this position will be from $18.93 to $26.27 hourly.
