Job Summary


We are seeking a highly organized and proactive Office Manager to oversee our daily office operations. The ideal candidate will have a strong background in administrative functions, office management, and team leadership. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. The Office Manager will be responsible for ensuring a productive work environment while managing office resources and supporting staff.

Responsibilities



Oversee daily office operations and ensure efficient workflow Manage schedules, including calendar management for executives and team members Coordinate event planning and logistics for company meetings and functions Supervise office staff, providing training and development opportunities Handle vendor management, including negotiating contracts and maintaining relationships Maintain accurate bookkeeping and payroll records using QuickBooks Excellent in Microsoft Office Suite- PowerPoint, Word, Outlook, Copilot, OneNote, Excel. Familiarity with QuickBooks, HR Software like Slack, Peninsula HR's (Bright Safe & Bright HR ), Jobber for scheduling & CRM software, and social media platforms (Facebook/Instagram/Meta for Business, GoHighLevel for Marketing, Canva for Content Image Creation, and LinkedIn. Assist with budgeting processes and financial reporting Implement human resources policies and procedures as needed Manage clerical duties such as filing, data entry, and correspondence Provide front desk support, including handling multi-line phone systems with professionalism Identify areas for process improvement and implement solutions Track KPIs and job performance metrics Foster a positive team environment through effective communication and organizational strategies

Qualifications



Proven experience in office management or administrative roles Strong supervisory experience with a focus on team management Proficiency in QuickBooks and other office software applications Excellent organizational skills with the ability to prioritize tasks effectively Strong communication skills, both verbal and written Experience in Construction Industry Health & Safety & Compliance Regulations office management is a plus but not required Familiarity with payroll processing, budgeting, bookkeeping, and vendor relations Ability to maintain confidentiality and handle sensitive information responsibly Demonstrated experience in training staff members on best practices Strong organizational and communications skills, professional English fluency is required & French is an asset.

Job Type: Fixed term contract
Contract length: 11 months

Pay: $23.00-$25.00 per hour

Expected hours: 37.5 per week
