The Ontario Shores Centre for Mental Health Sciences requires an experienced Secretary to provide a range of administrative, secretarial, data analysis, customer service and word processing services to the Central Intake department within the Integrated Community Access Program (ICAP).
The Central Intake secretary responsibilities include (but are not limited to): Processing intake information, account creations, responding to telephone inquiries, responding to routine inquiries; coordinating and booking appointments, maintaining multiple calendars; compiling statistical information and maintaining databases; composing and responding to correspondence; taking and processing of minutes; ordering of office supplies; filing, sorting mail, updating resource material, photocopying, liaising with community agencies and assisting with preparation for projects, workshops or conferences.
Please Note:
All Secretaries, within the ICAP program, must have the ability to work in any area of Ontario Shores as staffing needs dictate and will be required to provide intermittent coverage to other outpatient areas.
Requirements:
3 years secretarial experience in a hospital or medical clinic environment.
Secretary/Medical Office Administration Diploma strongly preferred
Knowledge of office procedures and guidelines
Knowledge of Mental Health Act and Public Hospitals Act.
Basic to Intermediate Microsoft Office Suite computer skills and intranet knowledge.
Proven ability to work effectively as part of a multidisciplinary team
Proven excellent interpersonal skills and effective oral/written communication skills.
Must have excellent grammar, punctuation, spelling and proofreading skills.
Demonstrated excellent organizational, time management, prioritization, analytical, problem-solving, and conflict resolution skills.
Demonstrated planning and coordinating abilities.
Demonstrated ability to work with minimal supervision.
Ability to perform the physical demands of the position.
Proven good attendance record with the capability of maintaining this same standard.
Variable hours may be required (occasionally) due to program needs.
Experience in a mental health environment an asset.
Experience with Meditech 6.0 and community wide scheduling strongly preferred
