Temporary Full-time Administrative Coordinator to Join the Team!

The Administrative Coordinator ensures timely responses to various administrative functions for the Social and Property Services (SPS) Department leadership team. This position has a primary focus on administrative support for the SPS leadership team and is relied upon to show initiative in problem-solving and assist in identifying areas of concern. The Administrative Coordinator is responsible for completing special projects, identified by the leadership team, and must demonstrate flexibility in scheduling priorities and a strong ability to quickly learn new programs and software platforms. This position has the responsibility to source grant funding information for all four divisions within the SPS Department and initiates the completion of the grant application, including assisting with the application narrative. Under guidance from the leadership team, the Administrative Coordinator assists in the development of legal documents, which may involve coordination with the County\xe2\x80\x99s legal counsel and the respective service provider. The Administrative Coordinator\xe2\x80\x99s responsibilities also include the preparation of correspondence, the monthly Council Director\xe2\x80\x99s report, and agendas and minutes. Responsible for TOMRMS maintenance, including overseeing the retention schedule. General knowledge of all divisions within the SPS Department to assist with administrative functions in a range of duties. In addition, the Administrative Coordinator is tasked with various projects as they arise and needs to be responsive to sensitive time frames and flexible in their varying degrees of complexity and scope. Role and Responsibilities
  • Uses initiative and judgment to assist the leadership team in problem-solving.
  • Collaborate with S&PS leadership team to prepare contractual agreements.
  • Liaise with outside organizations ensuring contractual requirements are met.
  • Research and assist with the development of new and revised policies and processes.
  • Assist with the preparation of statistical and financial requests from Provincial ministries; responsible for specific monthly and quarterly financial reporting to Province.
  • Assist with grant proposal applications and narratives; sourcing grant information.
  • Ensure onboarding documents are current, and develop new onboarding documents, as required.
  • Responsible for the TOMRMS maintenance, including retention.
  • Primary administrative support role for the S&PS leadership team.
  • Preparation of correspondence, based on direction.
  • Maintain S&PS Department training and education records in JBS software and HRIS software.
  • Maintain requirements for staff records, such as annual vulnerable sector checks, and initiate and oversee the process to renew the annual attestations.
  • Compile monthly Director\xe2\x80\x99s Report for County Council, and ensure timely submission.
  • Minute taking and preparation; prepare and send agendas for identified meetings.
  • Oversee electronic filing systems within respective computer drives.
  • Maintain and promote the confidentiality of information and data.
  • Monitor the in-office schedule for appropriate coverage.
Qualifications and Education Requirements
  • Two-year post-secondary diploma in business administration or a related field.
  • Minimum two years experience in an office setting, with experience in accounts payable functions.
  • Excellent computer and database management skills.
  • Excellent verbal and written communication skills.
  • Ability to work within critical time frames, meet deadlines, prioritize and multitask.
  • Ability to prepare financial records and create financial reports.
  • Demonstrated ability to work as a member of an interdisciplinary team, as well as independently.
  • Demonstrated planning and organizational skills.
  • Strong communication and interpersonal skills, including awareness of social issues, and the ability to deal tactfully and resourcefully with community partners, tri-level government representatives, tenants and other County Departments.
Preferred Skills:
  • Knowledge of community services within the County of Huron.
  • Ability to work with a variety of personalities with tact, solid customer service skills, teamwork and interpersonal skills.
  • Self-motivated, strong work ethic, and positive team attitude. Able to build and maintain relationships with other Departments, community partners, and government agencies.
  • Effective attention to detail and a high degree of accuracy.
  • Committed to working in an interdisciplinary, diverse setting.
Wages:
  • $28.98-$33.91 per hour; as per the 2023 non-union pay grid.
  • Option to contribute to an OMERS pension plan
