Team Manager
to join our leadership team and help ensure the smooth day-to-day operation of the club and its swim programs.
Position Summary
As the
Swim Team Manager
, you will be the administrative backbone of the organization. This full-time role requires excellent communication, organizational, and multitasking skills to support athletes, coaches, families, and volunteers. You'll oversee team communications, manage registrations and records, coordinate events, and help ensure compliance with NCSA and Swim Canada policies.
Key Responsibilities
Prepare registration packages for swimmers and officials (NCSA & Swim Canada).
Coordinate with finance to ensure fees are paid; manage team rosters and updates.
Approve and submit committee coaches expense reports as needed.
Maintain and communicate accurate team rosters and squad lists.
Manage and maintain the NCSA website and Sports Lomo accounts.
Manage monthly team communications and respond to internal/external inquiries.
Organize events (e.g., swim meets, team travel, BBQs).
Order and manage inventory of team equipment and apparel.
Attend monthly board meetings and provide updated reports.
Maintain NCSA records and administrative documentation.
Coordinate training for coaches and officials.
Assist with organizing parent/volunteer committees and fundraising activities.
AGLC license application and arrangement of fundraising events
Work with meet managers and officials to plan and run hosted swim meets.
Ideal Candidate Will Have:
Proven management experience- preferred.
Strong organizational and administrative skills
Excellent written and verbal communication abilities
Ability to work independently and as part of a team
Comfort with digital tools (emails, spreadsheets, registration systems)
Knowledge of swim club operations or competitive swimming (an asset but not required)
