A boutique, high-end, and growing facial plastic and reconstructive surgery practice in Guelph, ON is hiring a

Surgical Logistics Coordinator

to join our team.

The practice is:

Owned and operated by a double board-certified facial plastic surgeon Specialized in cosmetic facial plastic surgery and non-surgical aesthetic procedures, including neuromodulators, dermal fillers, advanced laser and RF devices, skin care, and more Rapidly growing with a modern, 5,000 sq. ft. facility
In this hybrid administrative and clinical support role, the Surgical Logistics Coordinator will work directly with the surgical and patient care teams to ensure a seamless, organized, and professional experience for all surgical patients. The successful candidate will:

The

Surgical Logistics Coordinator

will be responsible for the following duties (including, but not limited to):

Clinical

Coordinate full surgical preparation process, including tracking and collecting all required pre-operative documentation and consents Communicate with patients by phone and email to guide them through pre-operative requirements and ensure timely completion of forms and testing Arrange required testing (e.g. bloodwork, ECGs) and assist with related patient communications Accurately enter patient and surgical information into EMR system Assist with sterilization of surgical instruments (training provided) Assist with cleaning and preparation of surgical laundry and linens Receive and unbox deliveries and assist with surgical inventory stocking and tracking
Secretarial

Provide administrative support to Clinic Manager and surgical coordination team Schedule and confirm anesthesia and nursing teams for surgical days Professionally operate telephone and email communication channels, responding and relaying messages as appropriate Upload scanned documents and pre/post-operative photos into patient charts Provide clerical and scheduling support as required Additional administrative duties as assigned
Scheduling

Coordinate surgical case bookings with internal team, anesthesia providers, and patients Maintain up-to-date surgical scheduling and communicate changes efficiently
Office Maintenance

Maintain tidy and organized surgical preparation and supply areas Track and manage surgical inventory levels, reporting needs to Clinic Manager Support clinic operations and ensure surgical areas are prepared for daily use
Information Management

Maintain accurate digital records of surgical paperwork, supplies, and inventory Ensure all patient documents are filed and stored in EMR in a timely and organized manner Provide patients with detailed pre- and post-operative instructions and documentation
The winning candidate will receive hands-on training with our Clinic Manager and work closely with our surgical coordination and patient care teams. This role requires a proactive mindset, strong communication skills, and the ability to operate efficiently in a fast-paced clinical environment.

Job Requirements:

2+ years of administrative experience (healthcare or surgical setting preferred) Strong written and verbal communication skills Exceptional organizational skills and attention to detail Familiarity with EMR systems Ability to multitask and follow up thoroughly and reliably Professionalism in appearance and demeanor Excellent time management and ability to work independently MDRT training or prior experience in sterile processing/surgical coordination an asset Knowledge of aesthetic medicine, surgical workflows, and patient communication a strong asset Positive, team-oriented mindset with a strong work ethic and willingness to grow
Pay Structure, Perks, and Benefits

Annual salary: $54,000 - $65,000 (based on experience and qualifications) Paid vacation (2 weeks) Extended health care benefits Positive and supportive work environment One-on-one training and opportunities for professional growth Paid continuing education and travel expenses for conferences Onsite parking

Full-time - 40 hours per week (Monday to Friday)

Experience:


Administration: 2 years (preferred)
Surgical or clinical coordination: 1 year (preferred)

License/Certification:

Job Type: Full-time

Pay: $54,000.00-$65,000.00 per year
