Role Overview

As a Supply & Operations Coordinator, you will be responsible for coordinating supply management, inventory, and operational logistics across multiple campuses. You will work directly with vendors, campus staff, and internal teams to ensure timely and accurate supply delivery, maintain organized warehouse operations, and support continuous process improvements.

Responsibilities



Supply & Vendor Management



Coordinate the purchasing of supplies and materials, including placing orders and tracking deliveries. Communicate with vendors to resolve order discrepancies, delays, or quality concerns. Maintain vendor contact lists and monitor supplier performance. Support budget tracking and reporting for supply-related activities.

Inventory & Warehouse Management



Receive, inspect, and organize incoming shipments to ensure accuracy and condition. Maintain an organized warehouse, including proper labeling, storage, and inventory rotation. Conduct regular inventory audits and update digital records to reflect stock levels. Track low-stock items and initiate reordering to prevent shortages.

Inter-Campus Logistics



Prepare and ship supplies to campuses across Alberta, British Columbia, and Saskatchewan. Coordinate logistics to ensure supplies reach campuses in a timely and cost-effective manner. Resolve shipping or delivery issues in collaboration with campus staff and carriers.

Operational Support



Maintain accurate digital records of orders, inventory, and shipments. Support process improvements to optimize workflow, reduce errors, and increase efficiency. Collaborate with campus staff to forecast supply needs and prioritize orders. Assist with warehouse safety protocols and ensure compliance with operational standards.

Reporting & Administration



Support reporting related to supply management, inventory, and operational metrics. Maintain organized records for audits, budget reviews, and internal reporting. Assist in preparing documentation for management review and decision-making.

Perform other related duties and special projects assigned by leadership.

Skills



1-2 years of experience in supply management, logistics, or administrative work (training provided). Microsoft Office Suite (Word, Excel) Strong computer skills with the ability to learn new software quickly Excellent organizational skills with the ability to prioritize tasks effectively Comfortable working in a small warehouse and lifting up to 50 lbs.
