Job Summary:





Under the Sioux Lookout First Nations Health Authority (SLFNHA) Physician Services management agreement, the Physician Contracts Lead role works within the vision, mission and values of the Sioux Lookout Regional Physicians' Services Inc. (SLRPSI) supporting the delivery of regional physician services to the Sioux Lookout Area and 31 First Nation communities, Sioux Lookout region).



The Supervisor - Physician Contracts works closely with the management team to ensure effective and efficient administration of physician contract services and plays a key role in managing physician contract services, including negotiations, execution, compensation processes, and administers physician invoicing, while ensuring efficient administration, compliance, reporting and reconciliation.



The Supervisor - Physician Contracts supervises the scheduling team to align with contractual obligations to support operational effectiveness and seamless service delivery.



The Supervisor - Physician Contracts is directly accountable to the Manager - Physician Services


Qualifications:




Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment) Diploma in Business, Finance or equivalent discipline in required Minimum 1 years' experience consisting of healthcare administration, finance Ability to take initiative and to exercise independent judgment, decision making and problem-solving Solution oriented with a high sense of quality, attention to detail, accuracy, efficiency, and meeting deadlines Knowledge of employment legislation and compensation practices Advanced knowledge of computer software applications including word processing, spreadsheets, database, and emails; specifically MS Excel, MS Word Experience in integrated data-driven programs Analytical skills for program data and financial information Strong organizational skills and ability to perform multiple tasks simultaneously, set priorities, and work in a team with diverse cultural backgrounds Excellent written/verbal communication and interpersonal skills with strong sense of customer service Experience is a supervisory or manager role is an asset Knowledge of organizational policies, procedures, and systems Demonstrated understanding of and competence in serving culturally diverse populations; knowledge of the First Nations' people, history, culture, health priorities and social issues Ability to communicate in one of the First Nation dialects of the Sioux Lookout region would be an asset Ability to perform the requirements of the role on a regular basis

Roles & Responsibilities:





Prepare all physician contracts and monitor the reporting requirements + Ensure the necessary documents, approvals, privileges and other documents are in place prior to physicians' starting their work commitment in the region
+ Communicate with the appropriate internal staff in the drafting of modifications or other contractual documents
+ Support physician recruitment and retention activities within the organization
+ Complete annual updating of all files
Prepare, maintain, and monitor the compensation system: accounting spreadsheet process, and tracking for physician compensation for monthly and annual submissions + Working closely with Finance on monthly compensation, tracking and reporting requirements to physicians and Ministry of Health (MOH)
+ Review and reconcile physician work records against published schedule and ensure accurate data entry
+ Monitor physician work records against contract commitments and report variances
+ Prepare monthly invoices templates for all regional physicians (GP and Specialist)
+ Update and maintain and share Invoicing Guidelines document to Physicians
Prepare all required reports in collaboration with Finance and ensure timely submissions to meet deadlines to MOH, HFO, BOD, Physicians and PSPO Managers + Monthly Physician Tracking Days
+ Monthly MOH Summary
+ Monthly Community Request for Locum Services
Provide oversight and leadership to the scheduling team, ensuring the accurate, complete and timely creation and distribution of monthly Physician preferred work schedule. This includes guiding the Scheduler(s) in accordance with established scheduling guidelines and in collaborating closely with the Physician Services Manager, Director of Physician Services and Physician leadership to align scheduling with organizational priorities.

Supervision of physician scheduling staff; and work collaboratively with physician travel and physician accommodations staff to ensure all components of physician's visit are met + Provide performance feedback, support training and evaluate the work of the scheduling staff to ensure duties are carried out accurately and aligned with departmental goals, including the completion of annual performance appraisals
+ Oversee and participate in the after-hours on call scheduling rotation and ensure equitable distribution
Provide oversight and quality assurance for the use of PetalMD scheduling software, ensuring that the Scheduler(s) maintains up to date on call contact information, active group/teams lists, and accurate locum assignment details. Collaborate with the Physician Services Manager to address issues, ensure compliance with scheduling standards and support effective system use.

Manage the development, maintenance, and updates of all reports, including new, existing or modifications to existing reports + PSP Monthly Report
+ Annual FTE Allocations
+ Annual Report to SLFNHA and SLRPSI
+ Monthly Physician Services Newsletter
+ All other reports
+ Oversee Scheduler(s) contributions to the monthly Physician Newsletter, ensuring timely submissions of updates and relevant content
+ Ensure that all reporting maintained by the Scheduler(s) (e.g., TBA lists, Northern Community Day Allocation, practice needs tracking) are incorporated into monthly and annual Physician Services reporting
Conduct quantitative and qualitative analyses and reports as assigned

Ensure SLRPSI Physicians policy and procedures are adhered to including the scheduling and invoicing guidelines

Provide physician invoice orientations to all new physicians in the region + Provide reorientation sessions to Physicians as required
Provide frequent updates/reports to Physician Services Manager and Director of Physician Services

Work collaboratively with the scheduling and management teams to ensure all the obligations are met with physician human resources for the region

Work the Physician Services Manager on annual per diem budget, clear role/responsibility definitions of roles to meet per diem compensation

Provide effective customer service to internal and external representatives in all areas of invoice processes

Support and review scheduling communications sent to First Nations nursing stations and other stakeholders to ensure clarity, accuracy, and timeliness

Confirm accommodation and travel arrangement are effectively coordinated with other team members

Support program development initiatives & activities as required

Provide assistance with other assigned duties
