The Office Assistant - Summer/Co-op Student provides key administrative support to management, ensuring smooth operations. This role includes preparing correspondence, assisting with participant admissions, transfers, discharges, and reports. The Office Assistant also manages reception, directing inquiries to the appropriate department. Additionally, they organize, track, and archive files while handling data entry, updates, and retrieval. This position offers a great opportunity to develop administrative skills in a collaborative, professional environment.



Candidates must meet the following criteria:


• must be between 16 and 30 years of age (inclusive) at the start of employment;
• was registered as a full-time student during the preceding academic year;
• intends to return to school on a full-time basis during the next academic year;
• is a student in post-secondary, vocational, or technical program;
• is a Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act• and;
• is legally entitled to work according to the relevant provincial / territorial legislation and regulations.


Qualifications

Education and Professional Certification


• Certificate or diploma in office administration or a related field of study.


Experience


• Minimum one (1) year of experience working in an office environment.
• Experience working on computers with software packages including; Excel, Word, and Outlook.
• Experience working with various databases.

Duties and Responsibilities

Services


• Manage reception, answer calls, and assist visitors.
• Process incoming and outgoing mail.
• Coordinate and maintain boardroom bookings for meetings.
• Support Directors with administrative tasks for meetings and workshops.
• Maintain and organize participant files, including tracking and archiving.
• Enter and update participant data, including referrals, admissions, transfers, and discharges.
• Obtain authorization for purchase orders and invoices. Process, distribute, and track purchase orders and forward to accounting or external providers.
• Process and track purchase orders and invoices, liaising with accounting or external providers.
• Prepare, update, and distribute reports, letters, and forms with accuracy and efficiency.
• Ensure the reception and kitchen areas are tidy and presentable.
• Perform other related duties as assigned.

• Provide leadership and training to new employees.

Management of Resources


• Order and reconcile office supplies and expenses.
• Maintain office equipment and coordinate repairs.
• Assist with budget projections and reconciliations.

• Adhere to written or verbal agency and government regulations, policies, practices, and instructions.


Additional Requirements

The incumbent is responsible for completing all mandatory training requirements for the position as per agency policy and guidelines.

Wage for this position ranges from $21.25-$27.83 per hour.
