Job Summary
We are seeking a
full-time Studio Administrator
to manage procurement, project coordination, and office operations. This is a hands-on role focused on
vendor relations, materials management, and financial administration
, including QuickBooks.
This position is ideal for someone experienced in office operations, procurement, and bookkeeping, who enjoys working in a creative studio environment and contributing to high-end residential and commercial projects.
Key Responsibilities
Procurement & Vendor Management:
Source, order, and track materials and supplies from vendors
Maintain accurate vendor contacts, pricing, and order histories
Receive, verify, and label materials for projects
Manage timelines for materials and production to ensure on-time delivery
Financial & Office Administration:
Process new orders, create work orders, issue invoices, and input data into management software
Manage deposits, final payments, and accounts using QuickBooks
Handle basic accounting tasks such as expense tracking, reconciliations, and reporting
Maintain accurate project and financial records
Project Coordination:
Monitor ongoing projects and production schedules to ensure deadlines are met
Coordinate installation schedules and logistics with vendors and clients
Assist with client communications and order updates
Web & Marketing Support (Optional/Nice-to-Have):
Update the company website (Squarespace) with new projects and events
Support social media and newsletter content as needed
Experience & Qualifications:
Minimum 2 years of experience in administration, procurement, or office operations
Strong QuickBooks experience is essential
Excellent organizational and multitasking skills
Detail-oriented and able to manage multiple priorities independently
Experience in design, textiles, or interior design is a plus but not required
Required Software Skills:
QuickBooks
AutoCAD / SketchUp / Adobe Suite a plus, but optional
