About NPC Art Center
NPC Art Center is a creative education space offering drawing, design, portfolio development and STEAM style creative classes for students ages 4 through adult. We are looking for a hands on leader to help us run high quality programs, support our instructors, and deliver an amazing experience for every student and parent who walks in.
This is not just a front desk role. This role is part program manager, part client care, part studio floor lead.
Summary of the Role
The Studio Operations and Program Coordinator is responsible for daily studio operations, class logistics, customer service, and student success.
You will:
Plan, coordinate, and execute class schedules across multiple age groups
Support instructors and make sure classes run smoothly
Be the main point of contact for parents, adult students, and prospective clients
Track student progress and share updates with parents
Help grow the studio through excellent service, program knowledge, and membership sales
You will report directly to the campus supervisor / director.
This position is ideal for someone who has worked in an education center, after school program, art studio, private school, music school, tutoring center, or similar.
Key Responsibilities
Program Coordination and Scheduling
Build, update, and manage weekly class schedules for kids (ages 4 to 12), teen portfolio students, and adult learners
Confirm instructor coverage and manage staffing changes
Prepare classrooms before each session and ensure all supplies, handouts, and demo materials are ready
Take attendance and keep daily records of who attended each session
Help coordinate workshops, camps, trial classes, demos, and special events
Student and Parent Experience
Greet families and students in a professional, warm, confident way
Answer program questions, explain class levels and pathways, and recommend the right program
Communicate daily and weekly progress updates to parents and guardians, especially for younger students and portfolio students
Escalate any student concerns, behavioral issues, or safety concerns to leadership right away
Operational Support
Act as floor lead during class time to make sure classrooms are running on time and safely
Step into the classroom when needed to assist instructors with group setup, guiding warm up exercises, or helping manage younger kids
Deliver or help facilitate short creative workshops or trial lessons occasionally, using provided curriculum
Make sure the studio stays clean, organized, and presentable at all times (front desk, lobby, washroom, classroom stations, supply areas)
Maintain inventory of basic classroom supplies and flag when restock is needed
Communication and Reporting
Keep daily notes on student progress, attendance issues, and any parent feedback
Send daily or weekly summary reports to parents where required by program
Support internal reporting to the director: enrollment numbers, trial conversions, class fill rates, and instructor needs
Sales and Membership Support
Clearly explain NPC Art Center programs, memberships, private lessons, and specialty workshops
Convert trial students and walk in inquiries into enrollments
Follow up with leads and returning families in a respectful, relationship based way instead of a pushy retail style
Help with basic front desk admin such as registration, payment processing, and booking make up classes
Team Support and Culture
Be a reliable first line contact for instructors during operating hours
Maintain a calm, professional environment in front of parents while handling any issues privately with staff
Model positive, enthusiastic, kid friendly energy
Support new staff onboarding on basic studio procedures, attendance tracking, and classroom standards

Classes start on time and run smoothly
Parents trust you and feel informed
Instructors feel supported, not micromanaged
Students are safe, welcomed, encouraged, and improving
Trial students become long term students
The studio always looks organized and professional from open until 8 pm
Qualifications
Required:
Minimum 2 years experience in one or more of the following: education management, after school program coordination, private school administration, art studio or music school operations, childcare program lead, customer service lead in an education environment
Strong communication skills in person, phone, text, and email
Confident speaking with parents about their child's progress
Comfortable managing kids as young as 4 and also dealing with teenagers and adult clients
High level of organization and attention to detail
Ability to multitask during busy class transitions without losing calm
Able to work afternoons and evenings until 8 pm and weekends
Nice to have:
Experience in visual arts, animation, entertainment design, portfolio prep, STEAM, or creative education
Experience selling programs or memberships
Other requirements:
Must be legally eligible to work in Canada
Must be comfortable with a vulnerable sector / background check due to working with minors

Competitive hourly or salary compensation based on experience, plus performance based incentives tied to enrollment and retention. Details to be discussed in interview.
