Career College Group (O/A Medix College & North American Trade Schools) is seeking an Student Services Administrator to join our Brampton Campus. Position Summary:
The Student Services position is responsible for delivering high-quality administrative and customer service support to facilitate efficient campus operations. This role serves as a primary point of contact for students and staff, managing clerical and administrative functions with professionalism and accuracy. Additionally, the position oversees the placement of students into program-related externships and provides guidance and support to graduates seeking employment within their field of study.
Essential Functions
Provide administrative support to all departments
Answer phone calls, handle inquiries, and take messages.
Enter, update, and maintain student records within the college's CRM.
Keep track of administrative supplies and restock as needed.
Write verification letters, completion letters, and current student letters.
Order textbooks/books and perform inventory checks.
Take payments from students and visitors.
Assist with student onboarding, including orientation for new students.
Collect, verify, and submit police checks, VSS forms, and medical immunization documentation.
Liaise with internal departments to confirm externship prerequisites (academic, financial, medical, police clearance, resume).
Plan and facilitate externship orientation sessions and prepare related documentation.
Track and record student externship attendance weekly.
Facilitate the externship exit process and ensure all required documents are collected.
Work with employers to secure practicum opportunities for students.
Conduct employer visits, coordinate field trips, and arrange guest speakers.
Maintain regular communication with students by sharing updates, news, and relevant information.
Support students requiring accommodation and help manage student conflict through observation and early intervention.
Stay in contact with alumni to support Career Services.
Circulate employment opportunities to graduates and communicate new hires to campus staff.
Maintain graduate follow-up communication to determine employment status.
Maintain internal KPI reports related to graduate employment.
Assess graduate employment support needs and refer to the Employment Specialist as needed.
Create and maintain an organized workspace and lesson plan area.
Work professionally in a team environment and maintain positive communication with all departments.
Treat all students and staff with respect, free from bias or discrimination.
Continue professional development within your field.
Perform other duties as requested by the Campus Manager
Position Requirements:
Formal Education and Job-Related Experience:
This position requires a minimum formal education of a Post- secondary diploma/degree in Business Administration or a related field.
Proficiency with database applications and Microsoft Office.
Comprehensive knowledge of Private Career Colleges is an asset.
