The Student Life & Operations Assistant ensures a smooth daily function of the school's front office and supports key areas that contribute to a safe, welcoming and well-organized learning environment. This role provides hand-on support with purchasing, staff logistics, and overall school readiness. A key part of the role is supporting a positive student experience by helping maintain a safe and orderly environment, assisting with communication, and ensuring the school is prepared for daily activities. The ideal candidate is organized, approachable, and proactive-contributing to the well-being and day-to-day experience of students and staff alike. This position will report directly to the Director of Teaching & Learning (DTL).
Key Responsibilities
The responsibilities of this position include the following, as well as any other duties deemed necessary and assigned by the DTL:
Operations
Manage school supply and office stock of basic materials and ensure timely purchase requests.
Assist with setup and logistics for events, field trips, and extracurricular programs.
Manage delivery and distribution of the school's hot lunch program to students.
Assist with purchase procurement by gathering quotes, tracking deliveries and organizing supplies.
Maintain records of purchase orders and communicate status updates to staff as needed.
Ensure First Aid kids and emergency supplies are fully stocked and accessible
Administrative & Staff Support
Ensure accurate daily student attendance is recorded and submitted.
Maintain accurate student records and files.
Assist staff with preparing materials or coordinating minor classroom needs.
Greet and assist visitors, answer phones, and manage front desk duties as needed.
Provide administrative support for the admissions process, including preparing assessments, organizing applicant folders, and drafting offer letters.
Communication & Coordination
Post and share basic school announcements or reminders via email, parent platforms and physical displays around the school.
Assist in creating, compiling, and distributing the weekly parent newsletter.
Help with creating and distributing signage, schedules, and school-wide notices.

Preferred Experience and Qualities:
Experience working in a school setting
Ability to speak and write in French
