Job Description


Reporting to the Director, Digital Student Experience, the Student Communications Specialist (SCS) - Registrarial Communications works in an integrated way to support communication needs across the Student Experience and Enrolment Management (SEEM) division. The SCS develops and coordinates key communications and marketing initiatives that primarily support prospective and applicant communications in addition to ongoing registrarial communications across the full service-to-student continuum. The SCS works collaboratively with other divisional communications personnel and managers to ensure clarity and continuity in messaging, so that the student communications experience is integrated across Sheridan. The role leverages brand assets, tone and language to create optimal coordination, engagement, and resonance of communications with student groups. The SCS also works to develop digital content (e.g. infographics, social media, video clips, graphic images, photos etc.) for communications projects (websites, presentations, event/activities promotion, e-communications etc.) in support of SEEM leadership team needs. The SCS continuously collaborates and integrates with colleagues in Communications, Public Affairs and Marketing (CPAM) to ensure strategic and brand alignment throughout the student lifecycle. The SCS also guides and advises student interns on tasks, content development and review and internal processes.

What You\'ll Be Doing

  • Contributing ideas and information to support the planning of communications and marketing campaigns for the Office of the Registrar (OTR) and the enrolment needs across SEEM;
  • Utilizing target audience personas and data intelligence to create communications content that is targeted with calls-to-action in a coordinated and brand consistent manner;
  • Supporting the development of content by working closely with SEEM managers, gathering information of interest to prospective and current students and stakeholders regarding important operational elements of the student journey (e.g. registration, scheduling, records, financial aid, tuition payments, etc.);
  • Supporting the creation of engaging and student-centric communications and social media content to promote the Division\'s services and resources as needed;
  • Creating engaging content/campaigns for other key stakeholders critical to SEEM, including faculty/staff;
  • Supporting the development of infographics, tables, images or videos to enhance text-based content;
  • Assisting with the creation of multimedia presentations, participates in the planning, research and implementation of digital projects, and integration of new and interactive methods of communication and analysis and reporting for student engagement campaigns;
  • Assisting internal stakeholders and CPAM team leads in supporting development of assets and copy for texting, social media and other promotion of activities;
  • Supporting CRM and omnichannel journey communications development and strategy in conjunction with SEEM and CPAM colleagues;
  • Managing and contributing content to comprehensive communication activity schedule/content calendar;
  • Working collaboratively with other areas of the College to ensure that student communications are coordinated effectively across the student life cycle to meet commitments and to eliminate overlap or duplication of efforts;
  • Assisting with planning and execution of annual communications cycle/projects; monitoring deadlines, implementing portions of plans/project, providing input and helping coordinate production and delivery;
  • Updating information in communication systems and online tools and existing databases and repositories;
  • Keeping inventory and distributing materials prepared on behalf of units;
  • Ensuring digital communications are tracked with Google UTM tracking links and coordinating with Digital Marketing Analyst to set up Google Analytics tracking and create custom reports for campaigns;
  • Creating communications guidelines, templates and providing guidance and consultation for consistency;
  • Reporting on communications and marketing campaigns using Customer Relationship Management suite (CRM), omnichannel engagement, Google Analytics, email analytics, Facebook Insights and other tools;
  • Keeping current on communications/marketing trends (e.g. marketing to student audiences) competitive analysis, by reading and reviewing websites, taking courses or attending/co-presenting at conferences and liaising with internal experts within CPAM;
  • Performing other related duties, as assigned.

You have demonstrated success coordinating cross-functional groups.

You exercise good judgement, initiative and creative problem-solving skills and work very well in a team environment.

You have excellent organizational skills including the ability to work independently, co-ordinate a number of projects/programs simultaneously and meet deadlines while responding to high volumes of work and changing/conflicting priorities.

The successful candidate will also meet the following qualifications:
  • 4-year degree in Communications, Marketing, Publishing, English (with emphasis on Writing) or a related field
  • 5 years of recent experience researching, writing and editing copy and creating content across a range of media (equivalencies will be considered)
  • Basic understanding of search engine optimization (SEO), content categorization and structure, content development, distribution across multiple channels and measurement
  • Intermediate to advanced skills working with MS Word, MS Excel, MS PowerPoint and Adobe Creative Suite (including Photoshop, InDesign, Acrobat and Bridge) and email distribution software
  • Understanding and experience with AODA (Accommodation for Ontarians with Disabilities Act) and accessibility best practices
  • Intermediate to advanced skill with web search/navigation tools for keyword research, content management systems (CMS) customer relations management systems (CRM)
  • Familiarity with omnichannel customer care solutions, including chatbots, knowledge bases and ticketing solutions
