About the Position:

This is a regular part-time support staff Bargaining Unit position reporting to the Associate Registrar working 24 hours per week at an hourly rate of $30.76.

The Student Awards Coordinator plays a key role in the administration of the scholarship and bursary programs. The incumbent is responsible for allocating bursary & scholarship awards, from college, government and privately endowed funds. This position also administers student employment programs funded by the Tuition Set-Aside program.

They will be responsible for ensuring multiple budgets are adhered to, as well as reporting financial aid data on a regular and ongoing basis to MCU. This position will keep accurate records and provide reports to aid in the management and analysis of the student aid programs. The incumbent will be empathetic and an advocate for students, especially those in financial crisis.

Specific Accountabilities:

  • Administers, monitors and disburses funds for student award accounts, the Tuition Set Aside program, and government-funded bursaries and awards.
  • Interviews students with special circumstances and provides information on accessibility to financial aid programs.
  • Authorizes emergency bursaries and loans for students in crisis.
  • Refers students to alternate internal or external community resources, as appropriate.
  • Subject matter expert on all merit and need-based awards, including the Student Access Guarantee (SAG) and emergency bursaries, offered at the college.
  • Responsible for all reporting and reconciliation of government bursary funding to the Ministry through the Bursary Recording System (BRS) and Colleague.
  • Management of the Bursary for Students with Disabilities (BSWD) annually allocated government funding. Notification and follow-up (as necessary) to students for overdue/unspent expenditures and/or receipts. Sends students to Collections for failure to provide documentation, as necessary.
  • Assists Foundation in the development of new award criteria. Alongside the Foundation, develops and cultivates relationships with donors.
  • Assists the Foundation to host annual Academic Awards Ceremony, honouring both scholarship recipients and award donors.
  • Posts scholarship & bursary opportunities online; develops communications to target audience through various media types. Upkeep of online student awards content.
  • Coordinates and chairs award selection committees. Coordinates faculty award selected programs.
  • Coordinates the Work Study and Employment Between Academic Terms (EBAT) program. Updates the online modules on a bi-annual basis. Reviews, approves students for programs and creates contracts. Liaises, monitors academic progress, and acts as a resource for the College departments approved for student Work Study and EBAT funding.
  • Develops appropriate communications to students and identifies strategic uses of financial-needs based and merit based award programs to attract potential applicants.
  • Participates in associations, such as the Ontario Association of Financial Aid Administrators (OASFAA) and stays current on scholarship and need-based award guidelines, OSAP policy and financial aid trends.
  • Provides guidance and direction to student employees.
  • Other duties as assigned.
Qualifications:
  • Three-year post-secondary diploma in Business studies
  • Minimum three years of experience in a financial aid office, preferably experience with scholarships, awards and bursaries, or a similar environment.
  • Experience providing client advisory and information services for those in difficult or challenging personal and/or financial situations.
  • Experience working in a high-stress environment, with the ability to work under pressure and to respond to clients with discretion, diplomacy and professionalism.
  • Knowledge of OSAP policies and procedures is preferred.
  • Experience in use of Windows computer environment (Microsoft Office Suite); familiarity with webpage building software would be an asset.
