Job Description

Reporting to the Student Affairs Strategic Initiatives & Operations Manager, the Student Affairs Program Assistant provides administrative and logistical support to the Student Affairs administration by coordinating and executing administrative procedures relating to payroll, staff schedules, leave and absence tracking, other human resources functions under the direction of the Manager. This role also provides scheduling assistance, purchasing and event logistics for Student Affairs programming. This role also has responsibility to managing the AVP's schedule and support the calendars of other administrative employees as required, as well as coordinating meetings, preparing meeting agendas, note-taking and maintaining accurate and organized digital filing systems. The Program Assistant also provides support in relation to student employees within Student Affairs by assisting in the onboarding process, preparing employment contracts, completing work-study workflows, submitting payroll etc. This role supports Student Affairs events through logistical organization and technical supports, including room bookings, equipment arrangements, and marketing/promotional assistance. Providing assistance with data collection and reporting in relation to Student Affairs services is also an integral part of the responsibilities.
What You'll Be Doing

  • Supporting the recruitment, hiring and onboarding of student leaders/employees within Student Affairs.
  • Assisting with preparation of contracts, organization of time tracking (leave and absence reporting) and payroll for Student Affairs, including student employees.
  • Coordinating purchasing and expense reporting for the department. Maintaining employee records and confidential information.
  • Organizing and supporting events and programming for Student Affairs, including logistical arrangements for in-person and virtual events, marketing, promotion and registration, technical support.
  • Supporting data collection for programs and events, including event participation and preparation of reports for service areas in collaboration with managers.
  • Providing confidential executive and operational support to the AVP Student Experience, and Student Affairs team, including project support (research, consultation with internal/external stakeholders, synthesizing of information, drafting related documentation) and coordinates schedules and maintains a central information sharing system for communication and departmental tracking activities.

The successful candidate will also meet the following qualifications:
  • 2-year diploma in office administration or a related field
  • Minimum of 1-year of experience in an office administrative setting(equivalency considered)
  • Experience in a post secondary setting is an asset
  • Strong organizational, communication, and time management skills
  • Ability to prioritize tasks and manage one's own time effectively to meet deadlines
  • Ability to handle confidential information with discretion and professionalism
