Le sp\xc3\xa9cialiste de la documentation des Services partag\xc3\xa9s des RH (SPRH) est un r\xc3\xb4le sp\xc3\xa9cialis\xc3\xa9 au sein de l\'\xc3\xa9quipe SPRH. La personne dans ce r\xc3\xb4le est responsable de la cr\xc3\xa9ation et de la mise \xc3\xa0 jour de la description des nouveaux processus et de ceux d\xc3\xa9j\xc3\xa0 existants des SPRH, puis de la r\xc3\xa9daction et de la mise \xc3\xa0 jour des proc\xc3\xa9dures op\xc3\xa9rationnelles standard (POS) d\xc3\xa9taill\xc3\xa9es afin de soutenir les processus.

Le sp\xc3\xa9cialiste de la documentation collabore avec tous les membres de l\'\xc3\xa9quipe SPRH pour examiner le flux des processus et peut proposer des recommandations, des solutions et des plans d\'action pour am\xc3\xa9liorer l\'efficacit\xc3\xa9 des SPRH. La personne collaborera \xc3\xa9galement avec diverses \xc3\xa9quipes de projet, \xc3\xa9tant donn\xc3\xa9 que les projets entra\xc3\xaenent souvent l\'\xc3\xa9laboration de nouvelles proc\xc3\xa9dures ou la modification de celles d\xc3\xa9j\xc3\xa0 en vigueur. En cons\xc3\xa9quence, ce r\xc3\xb4le contribue r\xc3\xa9guli\xc3\xa8rement \xc3\xa0 la gouvernance des SPRH et \xc3\xa0 une culture d\'am\xc3\xa9lioration continue.

Principales responsabilit\xc3\xa9s :

  • Cr\xc3\xa9er et mettre \xc3\xa0 jour des proc\xc3\xa9dures op\xc3\xa9rationnelles standard (POS) d\xc3\xa9taill\xc3\xa9es et des descriptions de processus, des guides de r\xc3\xa9f\xc3\xa9rence rapide (GRR) et des outils de travail pour les processus existants et nouveaux des SPRH.
  • Collaborer avec les experts en la mati\xc3\xa8re (EM) et les parties prenantes des processus pour comprendre les t\xc3\xa2ches, examiner le flux de travail et documenter en cons\xc3\xa9quence.
  • Examiner les descriptions de processus existantes et la documentation des POS pour en v\xc3\xa9rifier la clart\xc3\xa9 et les mettre \xc3\xa0 jour si n\xc3\xa9cessaire. Il s\'agira notamment d\'harmoniser les processus (dans la mesure du possible) et de les optimiser (gains d\'efficacit\xc3\xa9) en \xc3\xa9troite collaboration avec l\'\xc3\xa9quipe charg\xc3\xa9e de l\'am\xc3\xa9lioration des processus.
  • Contributeur cl\xc3\xa9 aux projets des SPRH li\xc3\xa9s aux efforts d\'optimisation des processus, \xc3\xa0 la technologie (par ex. automatisation robotique des processus) et la gouvernance des SPRH (programmation, suivi et r\xc3\xa9alisation des v\xc3\xa9rifications des processus) en \xc3\xa9troite collaboration avec l\'\xc3\xa9quipe d\'am\xc3\xa9lioration des processus RH.
  • Gestion de la biblioth\xc3\xa8que de documents au sein de Sharepoint, afin de garantir la convivialit\xc3\xa9 et la facilit\xc3\xa9 d\'acc\xc3\xa8s aux documents sp\xc3\xa9cifiques des processus.
Comp\xc3\xa9tences cl\xc3\xa9s :
  • Comp\xc3\xa9tences exceptionnelles en r\xc3\xa9daction, notamment une capacit\xc3\xa9 av\xc3\xa9r\xc3\xa9e \xc3\xa0 r\xc3\xa9diger des proc\xc3\xa9dures coh\xc3\xa9rentes, exemptes d\'erreurs de grammaire et de syntaxe, et \xc3\xa0 travailler avec des EM pour garantir l\'exactitude des \xc3\xa9tapes du processus.
  • Capacit\xc3\xa9 \xc3\xa0 communiquer des id\xc3\xa9es complexes de mani\xc3\xa8re claire et concise, facilement compr\xc3\xa9hensible pour l\'utilisateur final.
  • Exp\xc3\xa9rience pratique de la cartographie, de la documentation et de l\'am\xc3\xa9lioration des processus.

  • Dipl\xc3\xb4me universitaire (licence) en affaires, ressources humaines, r\xc3\xa9daction technique ou biblioth\xc3\xa9conomie (ou exp\xc3\xa9rience professionnelle \xc3\xa9quivalente)
  • Deux \xc3\xa0 trois ans d\'exp\xc3\xa9rience professionnelle applicable
  • Exp\xc3\xa9rience av\xc3\xa9r\xc3\xa9e dans la r\xc3\xa9daction de proc\xc3\xa9dures d\xc3\xa9taill\xc3\xa9es et de flux de travail de processus

Position title: Documentation Specialist

Location: Montreal

Reports to: Director, HR Shared Services

The HR Shared Services (HRSS) Documentation Specialist is a specialized role within the HRSS team. This role is responsible for creating/updating process maps for existing and/or new HRSS processes and subsequently drafting/updating detailed Standard Operating Procedures (SOP\'s) in support of operational excellence.

The Documentation Specialist collaborates with all members of the HRSS team to review process flow and may offer recommendations, solutions and action plans to improve HRSS efficiency and effectiveness. The role will also collaborate with various project teams as new/modified procedures frequently result from projects. As a result, this role regularly contributes to HRSS governance and a continuous improvement culture.

Job Responsibilities/Accountabilities:
  • Create and/or update detailed Standard Operating Procedures (SOP\'s) and process maps, Quick Reference Guides (QRG\'s) and/or Job Aids for existing and/or new HRSS processes.
  • Collaborate with process Subject Matter Experts (SME\'s), and process stakeholders to understand job tasks, review workflow and document accordingly.
  • Review existing process maps and SOP documentation for clarity and update as required. This will include process harmonization (to the extent possible) and optimization (efficiency gains) in close collaboration with the Process Improvement team
  • Key contributor to HRSS projects related to process optimization efforts, technology (ex: Robotic Process Automation) and HRSS Governance (scheduling, tracking and completion of process audits) in close collaboration with the HR Process Improvement team.
  • Document library management within Sharepoint to ensure user friendly, easy to source and access process specific materials
Key skills:
  • Exceptional writing skills that include a proven ability to write procedures that are cohesive, clear of grammatical and syntax errors and working with SMEs to ensure process steps are accurate.
  • Ability to communicate complex ideas in a clear, concise manner easily understandable to end user
  • Practical experience with process mapping, process documentation, process improvement
  • Excellent attention to detail and organizational skills
  • Ability to analyze issues and situations systematically and propose solutions for consideration
  • Highly motivated and proactive
  • Highly collaborative with the ability to build productive, constructive working relationships
  • Capable of working independently
  • Ability to build trust and demonstrate expertise both in person and virtually
  • Strong communication skills
  • Practical experience with Visio or other process mapping tools / software

Professional Experience/Qualifications:
  • College degree (Bachelor\'s) in Business, Human Resources, Technical Writing or Library Sciences (or equivalent work experience)
  • 2 - 3 years applicable work experience
  • Proven experience drafting detailed procedures, process workflows
  • Familiarity with process improvement concepts including Lean Six Sigma
  • Understanding of document management taxonomy strategies
  • Experience within HR or IT Shared Services context a definite asset
  • Experience with case/knowledge management tools (an asset)
  • Project management skills an asset
