Position Summary: Reporting to the Manager, Events and Airline Marketing, this position is responsible for the event management and delivery outstanding corporate, community and employee events at the airport. Collaborating with internal and external partners, you will help to identify unique opportunities to deliver against business objectives while carefully supervising budgets and results. In short, you understand what\xe2\x80\x99s required to develop a plan from concept through to activation. Key Accountabilities:

  • Provide event management and logistics expertise to internal and external client groups to develop event programming that promotes the Toronto Pearson brand and supports strategic objectives
  • Responsible for the planning and execution of airport events \xe2\x80\x93 inaugurals, new route celebrations and other airport partner events
  • Build and maintain airline/airport partnerships and provide support
  • Act as a project manager and work with internal clients to understand their objectives and requirements and then prepare and present event programming themes, concepts, budgets, critical paths, regular status updates, detailed plans of event and evaluation reports following the event
  • Lead events throughout all the stages (idea recommendation, planning) execution and on-site event management.
  • Conduct site visits for offsite events, based on Manager\xe2\x80\x99s approval
  • Maintain the relationship with internal and external partners and, on behalf of the client, handle all vendors/suppliers throughout the planning and execution of the event
  • Responsible for coordinating with Corporate Risk, emergency planning, security and parking and delivering a Master Plan of Operations for events to be referenced by partners throughout the planning and execution
  • Effectively negotiate price and terms with vendors and contractors
  • Provide event logistics support for executive team and board of directors at internal and external events and meetings
  • Provide input to the communications team on all the development of a communication plan for events, including pre-event and on-site communications with key partners, web/digital content and promotional materials, and establish communication protocols and operating procedures with event committees, subcontractors, agency staff and volunteers
  • Develop and deliver presentations, memos, briefing materials, and other materials in support of Corporate Programs
  • Act as an ambassador for the Corporate Programs activities
This unionized position is classified at the Band 6 level, with an hourly wage range of $38.76 to $42.64, based on a 37.5 hour work week. The successful candidate must be available to commence the duties of the position once a selection decision has been made. A practical test will be administered as a part of the competitive process. An eligibility list may be created. Qualifications:
  • Must have a post-secondary diploma or degree
  • Minimum 3 years\xe2\x80\x99 experience in event management, advertising, marketing and public relations
  • Minimum 3 years \xe2\x80\x98experience planning corporate, community and employee events in a sophisticated and multi-stakeholder environment
  • Must have experience and knowledge on standards of protocol with dignitaries, government officials and ceremonial guidelines
  • Excellent project management skills, including a consistent track record to lead multiple concurrent projects with focused attention to detail
  • Must have a valid Ontario G Class driver\xe2\x80\x99s license
  • Certified Meeting Professional (CMP) designation an asset
  • Able to acquire AVOP within 6 months of commencing in role
  • Able to acquire and retain Transportation Security Clearance at the designated level for the position
Knowledge, Skills and Abilities:
  • Excellent experience in planning, leading and implementing corporate, community and employee events
  • Excellent writing, editing and interpersonal skills
  • Experience in budgeting, cost management and event tracking
  • Leadership skills and volunteer management
  • Strong project management skills with an ability to respond to urgent requests in a high degree of attention to detail
  • Self-motivated person, requiring minimal direction for successful assignment completion
  • Listening and persuasion skills
  • Know and apply standard methodologies in the design and execution of events
  • Ability to evaluate the objective of each event including community fundraising events in order to craft program expansion with the goal of growing or diversifying revenue potential and understanding opportunities to contribute
  • Proven understanding of event fundamentals, channels, strategies and tactics
  • Responsible for event program improvements; researching industry standard processes in event management; recommending policies/protocols for management review and approval
  • Demonstrated ability to identify trends and research new revenue generating opportunities, including fundraising initiatives, for management approval through the development of detailed discussion papers and business cases
  • Demonstrated ability to write professional businesses cases and briefs
