Job Summary:

The Special Projects Coordinator oversees the planning, coordination and execution of special projects and events for the Faculty with an emphasis on coordinating all communications and marketing activities for the Faculty on traditional and social media platforms. The Special Projects Coordinator liaises with external major funding partners to maintain external relations and provides support on formal reporting on activities and submissions for new funding opportunities. The Coordinator is also responsible for producing and publishing annual and semi-annual Faculty achievement and activity reports distributing to both internal and external partners.

The Special Projects Coordinator will coordinate and provide support to Faculty events for engineering outreach, experiential learning exhibitions and Faculty recruitment events and be expected to represent the professionalism of both the Faculty and University while ensuring all university and external stakeholder\'s branding requirements are met.

Nature of work:

Reporting to the Director, Planning and Operations of the Faculty of Engineering and Applied Science (FEAS), the Special Projects Coordinator will oversee the communications and marketing activities of the Faculty as well as coordination of Faculty events and overall Faculty project support within the Dean\'s Office.

Responsibilities/accountabilities:

1. Communications and Marketing

  • Coordinates all Faculty communications and marketing activities.
  • Work closely with the FEAS\' senior administration team and the university\'s Communications and Marketing department, and support the development, execution and evaluation of the FEAS\' marketing strategy in publicizing its academic and research excellence and increasing the visibility of the FEAS\' academic programs.
  • Collaborate with the Communication and Marketing department and the FEAS\' departments to write, edit and coordinate print and digital materials, including regular newsletters, web and news/magazine articles, and other documents.
  • Coordinate all communications and marketing campaigns, projects and activities for FEAS. Involves planning, budgeting, executing, monitoring/controlling and assessment.
  • Coordinate and manage a digital library of FEAS related images and video, sources and/or conduct photo/video shoots as required.
  • Oversee web quality assurance including brand, style guidelines and accessibility standards for all FEAS related websites.
  • Manages all social media channels for the Faculty (FEAS, Engineering Outreach, Experiential Learning) including curating of content, scheduling of posts aligned with strategic Faculty initiatives and events, monitoring and responding to comments.
  • Chairs the Faculty Social Media Committee and sits on the University\'s Social Media Committee and University\'s Recruitment Committee.
2. Event Coordination
  • Provides event support for all Faculty related events (Engineering Outreach, experiential learning workshops and exhibitions, and Faculty recruitment).
  • Provides strategic guidance on best practices for workshop delivery both in-person and virtual, provides training and logistic support for virtual events.
  • Consults with Dean\'s Office on funding and equipment resources for all Faculty events, procures event materials as required.
  • Develops event promotional materials, speaking remarks, event itinerary and other materials as required.
  • Liaise with external stakeholders on media request visits.
3. Project Support
  • Provides support to the Dean\'s Office on special projects such as scholarship partnerships (Indigenous and Black Engineering and Technology PhD Project (IBET), International Atomic Energy Agency (IAEA).
  • Coordinates interim and final activity reports for external outreach and experiential learning funding partners (Engineering Machine Shop, Engineering Design Studio, and Annual Faculty reports (Ignite, Experiential Learning).
  • Provides support to engineering outreach campaigns to recruit youth engagement in outreach deliveries.
  • Provides support to engineering experiential learning opportunities to engage undergraduate students with Engineering Design Studio workshops.
  • Additional project support within the Faculty as required.
Required Skills:
  • Excellent planning and organization skills in overseeing event planning and execution.
  • Expert knowledge and understanding of social media platforms.
  • Strong content creation skills utilizing images, video and text for social media.
  • Proven excellent writing, editing and proofreading skills for content in a range of styles.
  • Attention to detail, confidentiality and the ability to manage multiple demands.
  • Ability to act independently with defined objectives, under minimal supervision.
  • Excellent communication and interpersonal skills with a demonstrated ability to handle faculty, staff and students with tact and diplomacy.
Required Education:
  • Completion of post-secondary education preferably in a field related to communications, marketing or public relations, or equivalent of education and experience.
  • Verification of Academic credentials may be required
Required Experience:
  • Three to five years\' related experience.
  • Experience in a post-secondary environment would be an asset.
  • Experience building and maintaining a strategic social media engagement plan and regular execution.
  • Demonstrated experience in event planning and coordination.
