Since opening in 2005, we have flourished with the loyal support of a like-minded community of government, funders, partners, and donors. Our high-in-demand services include long term care, supportive living, and an adult day program. To continue to meet the demand for senior care services in our community, we are opening a new long term care and hospice facility in 2026. This position, the Special Projects Coordinator, will support the commissioning and establishment of this new facility.





THE ROLE



Working closely with the Manager of Quality, Training and Development, you are accountable for supporting the administrative requirements in the planning and project management of commissioning activities for the new facility of Wing Kei. This role is part of a team that ensures all operational, clinical, and support services are prepared for occupancy, regulatory compliance, resident safety, andservice readiness at opening.





Key Accountabilities


Supports the project management of the commissioning project. This may include:

Assignments that ensure compliance with relevant government legislations and standards. Organization of project materials and meetings. Coordinating input and deliverables between internal departments, consultants, and external vendors. Coordinating submissions from different departments as needed. Tracking progress across workstreams (Care, Hospitality & Facilities, HR, IT, procurement, and resident move-in readiness) to ensure timely task completion. Supporting the development and documentation of operational policies, procedures, and readiness assessments. Organizing commissioning meetings, preparing agendas, recording minutes, and following up on action items. Supporting regulatory and accreditation preparations through documentation review and readiness audits. If needed, assisting with procurement planning, inventory tracking, and coordination of equipment installation and validation.

Maintains project documentation, including schedules, risk logs, and issue tracking. Facilitates communication and reporting to project stakeholders and leadership. Coordinates training for staff on new systems, workflows, and operational processes. Contributes to project evaluation after occupancy to capture lessons learned and performance outcomes.




THE INDIVIDUAL WHO WILL SUCCEED


Is aligned with and actively demonstrates Wing Kei's vision and mission. Holds a diploma or degree in health administration, project management, business administration or related field. Has a minimum of 2 to 3 years' experience in project management support, preferably in health care or senior living environments. Experience in coordinating multiple large-scale projects with strict milestones and deadlines would be an asset. Possesses strong organizational and communication skills, skilled in applying critical thinking to prioritize and anticipate different department's needs and potential questions. Is proficient with project management software and Microsoft Office. Thrives in a busy environment and is not easily overwhelmed by multiple simultaneous priorities. Knowledge of commissioning processes, facility activation, or healthcare operations considered an asset. Has excellent attention to detail and is reliable for accurate documentation. Has work experience both in working independently and in collaborating with other departments. Knowledge of government legislations, audits and relevant procedures regarding health care an asset.
