About this opportunity:

Reporting to the Manager, Social Investment (SI), the Administrative Assistant will be responsible for providing administrative support to the SI team. The successful candidate is comfortable with technology, collaborative, well organized, and takes initiative to find efficiencies and helps support the team in achieving results.

The SI team is responsible for Cenovus\xe2\x80\x99s Social Investment global strategy and programs and the employee volunteering and giving program, Cenovus Cares. This is an exciting opportunity to join a great company and team!

What you\xe2\x80\x99ll do:

Provide general administrative support to the SI team

Manage the Social Investment Inboxes and respond to inquires and requests

Coordinate team meetings, prepare agenda and create presentations as required

Coordinate meetings with internal and external partners. Handle all meeting logistics and arrangements including ensuring the required technology support, making food/beverage arrangements as applicable, and greeting external guests

Assist in budget tracking and invoice processing. Manage all payments and invoice processing and tracking for Social Investment and tracking in the GRANTS system

Assign GRANT requests to accountable staff, process payments through appropriate system, communicate decisions to partners in the Benevity Grants program

Assist with setting up training and supporting new hires on Benevity platform

Manage inquiries about employee program donations

Monthly reconciliation of Social Investment payments

Assist with administrative tasks of employee campaigns and major sponsorship activations as required

Manage in-kind requests from internal departments and external partners

Manage sourcing SWAG and ordering for major sponsorships

Provide coverage and additional administrative supports to the larger Community and Indigenous Affairs team as required

Evening and weekend work to support events, may be required occasionally

Who you are:

Must be legally entitled to work in Canada

A minimum of 8+ years of administrative experience

Strong organization skills, with the ability to set priorities, follow-up and meet deadlines.

Excellent verbal and written communication skills

Demonstrated ability to communicate effectively across all levels of the company and with external contacts

Displays tact and good judgment in resolving problems and answering inquiries

Experience with Concur, OpenInvoice, Benevity, and SAP would be an asset.

Able to work independently in a fast-paced, varied, and diverse environment with changing priorities

Must be proactive, self-disciplined, and able to demonstrate a high level of productivity.

Proven ability to handle sensitive and confidential information

Continuous improvement mind set, proposes solutions for efficiencies
