Supporting the Vice-President of Government Affairs and the Director of Sustainability, the Senior Administrative Assistant will be responsible for providing general administrative support to the Sustainability and Government Affairs teams. The successful candidate will have strong organizational and communication skills and demonstrate the ability to work in a dynamic environment with a high level of productivity.

Responsibilities:

  • Support leaders with calendar and inbox management, as required.

  • Coordinate meetings with internal and external parties as required. Handle all meeting logistics and arrangements including ensuring the required technology support, making food/beverage arrangements as applicable, and greeting external guests.

  • Independently lead general office administration tasks such as coordinating team meetings, maintaining contact lists, reconciling and processing expenditures, maintaining files, and arranging for department stationary supplies.

  • Managing conference bookings and travel arrangements (domestic and International) and processing associated expense reports.

  • Assist in budget planning and invoice processing and tracking. Ensure the recognition, training and other discretionary budgets are used effectively.

  • Facilitate Safety, Sustainability & Reserves (SSR) Committee and Board submissions by ensuring preparation, review and submission timelines as understood and met. Liaise with CSO\xe2\x80\x99s Executive Assistant, SSR Committee Secretary and Corporate Secretarial group as required.

  • Facilitate SOX Certificate sign-off as part of the quarterly reporting process.

  • Maintain team SharePoint sites for access provisions, file structure and document retention; with a focus on continuous improvement to ensure quick and easy access to key documents and information.

  • Support the teams\xe2\x80\x99 internal and external lobbying reporting function.

  • Plan team building activities and ensure team members are recognized for milestones and achievements.

  • Handle logistics for new hires, employee changes, office moves, and technology requirements as needed.

  • Seek opportunities to streamline processes through approach or technology tools to assist in effective reporting within the department, to Senior Management and to the Executive Team.


Qualifications:

  • Minimum of 8+ years of administrative experience, preferably supporting Senior level Executives.

  • Strong organization skills, with the ability to set priorities, follow-up and meet deadlines.

  • Excellent verbal and written communication skills.

  • Demonstrated ability to communicate effectively across all levels of the company and with external contacts.

  • Displays tact and good judgment in resolving problems and answering inquiries.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint Online.

  • Experience with Concur, OpenInvoice, and SAP would be an asset.

  • Able to work independently in a fast-paced, varied, and diverse environment with changing priorities.

  • Must be proactive, self-disciplined, and able to demonstrate a high level of productivity.

  • Proven ability to handle sensitive and confidential information.
