Job Summary:
The Site Administrator is an integral support role within the project delivery team, responsible for maintaining efficient site operations, project documentation, logistics coordination, and administrative support throughout the lifecycle of construction projects. This role enables disciplined project execution by ensuring accurate reporting, organized workflow, informed decision-making, and seamless communication between field operations and office resources.
Scope of Responsibilities:
Project Documentation & Controls
Create and manage daily LEM (Labour, Equipment & Materials) collection, accuracy verification, and timely submission.
Maintain project control logs including RFIs, site instructions, change records, and purchase requisition tracking.
Assist in document control including drawing registers, specifications, revision logs, HSE, QA/QC, and controlled distribution.
Assist with preparation of daily progress reports, inspection records, and site documentation packages.
Support project close-out documentation and records submission requirements.
Site Operations & Field Coordination
Coordinate site onboarding and access requirements for employees, subcontractors, and suppliers.
Submit personnel information to clients for site access and compliance platforms.
Support pre-mobilization and project activities, including orientation scheduling, flights and logistics coordination.
Maintaining manpower schedules.
Prepare and distribute meeting agendas, minutes, and action-item tracking.
Coordinate material requisitions, assist with take-offs, and track onsite delivery and usage.
Support field leadership with organization, communication, and workflow efficiency.
Develop and maintain strong working relationships with site crews, suppliers, subcontractors, and client representatives.
Participate in process improvement initiatives that enhance administrative and operational excellence.
Perform additional responsibilities as required.
Commercial & Client Support
Assist in issuing purchase orders, contracts, letters of intent, and vendor documentation.
Assist in tracking subcontractor and supplier quotations and with bid comparison tables.
Support progress tracking related to invoicing, cost reporting and project documentation requirements.
Communicate relevant project information to internal project leadership and client stakeholders.
General Responsibilities
Embody and promote Tron's mission, vision, values, safety culture and operational excellence mindset.
Support with travel logistics to project sites, as required.
Other duties as assigned to support the project delivery team and business operations.

Qualifications:
1-2 years of experience in working within the fields of construction and/or mining is an asset.
3 - 5 years of Administrative experience in a high paced office setting.
Travel coordination experience is an asset.
Problem solving skills.
Effective communication skills.
Willingness to learn and take on new challenges using own initiative.
Computer skills including the ability to use spreadsheets and word processing programs at a proficient level, i.e. Microsoft Office suite.
Ability to work under tight production schedules and deadlines, with effective time-management.
Must possess strong problem solving and communication skills, as well as the ability to handle changing demands.
Proficient in English, both written and spoken.
