Castle Fuels has an immediate opening for a mature, self motivated, responsible individual for a
Site Administrator
located at our Petro-Pass, 1814 Theatre Road location in Cranbrook.
This role will provide exceptional customer service while assisting the senior site administrator using basic accounting knowledge and computer skills. Responsible for ensuring the accurate and efficient paper flow associated with day-to-day operational duties and safety requirements. This role supports the mission and vision for Castle Fuels and supports the Operations Supervisor/Manager with the successful operations of the business. This position is in the bargaining unit of the Teamsters Local Union 213.
Job Duties
Reporting to Regional Operations Manager, this position plays a lead role supporting site operations.
*Duties may vary in each location and additional duties may be assigned.
Thoroughly and efficiently complete paperwork associated with day-to-day purchases and safety requirements.
Assist with Daily batching of receipts and cash register reconciliation
Enter all inventory purchases, pricing and codes as required and update WTBS/Pheonix systems as required.
Assist with any in-store merchandising including displays, ordering, pricing, stocking, and cleaning shelves, maintaining the coffee station, and keeping the office clean and tidy.
Assist with ordering and maintain office supplies and/or furniture requirements with manager approval.
Liaise with accounts payables and receivables at Corporate and provide monthly reports and reconciliations as required.
Assist with posting journal entries and reconcile accounts as required.
Data entry and filing including inventory purchase and transfers; pricing and product codes as required.
Build professional working relationships and liaise regularly and professionally with employees at all levels and / or third-party stakeholders, vendors, contractors and customers
Professionally and timely respond to customer inquiries including explanation of invoices and statements.
Assist with completing month-end customer statements, preparations, and mailings.
Assist with month end inventory counts and reconciliations.
Assist customers with card reader issues and change kiosk paper as required.
Attend meetings as required.
Consistently presenting oneself in a respectful and professional manner inclusive of being well groomed and wearing the appropriate uniform
Wearing PPE when assisting customers with card reader or cardlock issues, and when collecting any product from the warehouse
Warmly greet customers and professionally and timely respond to customer inquiries
Assist with cleaning of office & bathrooms as required.
May be required to cover additional job duties as well as vacation relief for the Sr. Site Administrator.
EDUCATION & EXPERIENCE:
Post-secondary education in administrative field
Applicable knowledge and experience working with MS Word, Excel, Outlook
Typing 45+ WPM
1-2 years customer service experience
Previous experience working with monetary transactions
