Position Summary:
The Site Administrator (Edgar) is responsible for maintaining and balancing day-to-day operations to ensure all inventory levels are tracked according to Koch Fuel Products standards.
The Site Administrator (Edgar) must have excellent customer services skills as they are the frontline of our business. They will need to have strong time management skills to ensure all daily responsibilities are completed.
Duties and Responsibilities:
Under the supervision of the site manager, the duties and responsibilities of the Site Administrator (Edgar) include, but are not limited to, the following:
Facility and Equipment Management
Assist in various site maintenance inside and outside (if needed)
Safety and Compliance
Balance the daily reconciliations within accordance of PTMAA standards
Maintains safe and clean reception area by complying with procedures, rules, and regulations
Operational and Managerial Duties
Maintain accounts (e.g. new and existing files);
Complete and balance daily batch in a timely manner
Manage Petro Canada Invoices
Assist in counting, balancing, and keeping inventory up to date
Input Oil Water Separator data
Process and complete Flaman sales and reconciliation
Reconciliations and billing for all extra NPR products
Become fully trained on Propane
Work together with the administrative people at Red Deer to ensure all paperwork is being completed and filed in a timely manner to ensure they can do their work.
Customer Service and Point-of-Sale Duties
Answer general phone inquiries, relay calls to the appropriate person, and return phone calls in a timely, professional, and courteous manner;
First point of contact for site customers
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries
Maintain appropriate levels of involvement in customer issues requiring resolution;
Demonstrates products and services to existing/potential customers and assists them in selecting those best suited to their needs.
Minimum Requirements:
Strong problem solving skills;
High School Diploma
Accountable and dependable;
Able to communicate effectively (both written and verbal);
Proficient in using a computer, including Microsoft Office (Word, Excel, Outlook);
Exceptional attention to detail and quality of work;
Good organizational, time management and prioritizing skills;
Able to demonstrate a positive attitude and strong work ethic;
Able to handle multiple priorities and tasks; and
Experience with customer service preferred.
Working Conditions:
Work in a busy, open office area with constant interruptions;
Able to work on a computer for long periods of time;
Able to comfortably answer phones and give consistent customer service
May spend long hours in intense concentration which requires attention to detail and high levels of accuracy; and
Required to meet a number of deadlines
Job Types: Full-time, Permanent
Pay: $20.00-$22.00 per hour
Expected hours: 30 - 50 per week
