  • Be an enthusiastic driver of office culture and fun!
  • Oversee and organize special events (i.e. holidays parties, summer events, town halls, executive visits)
  • Partner with the Social Committee to provide treasury and event support.
  • Event set-up/tear down
  • Partner with other departments to support staff and visitor needs such as catering, office tours, support for travelers, local recommendations, and reservations.
  • Establish and maintain vendor relationships.
  • Establish and maintain a strong business relationship with building management. Coordinate maintenance, cleaning, purchase orders and invoicing.
  • Maintaining existing service contracts with office vendors such as AV, furniture, printers, contractors, etc.
  • Establishing and maintaining security badges for new/existing/departed employees.
  • Partnering with the People Team on Occupational Health and Safety initiatives
  • Coordinating and performing administrative support functions for the office such as:
  • Distributing incoming/outgoing mail & courier. Scanning, emailing and tracking the status of documents.
  • Purchase and stock office and kitchen/snacks supplies, coffee etc.
  • Partner with local IT team to assist with employee offboarding experience; coordinate return of equipment.
  • Strong written communication skills to assist with corporate communications.
  • Executive support for Vice President and Site Lead
  • Managing expense reporting and compliance
  • Assistance with scheduling
  • Provide administrative support and assistance on confidential matters.
  • SME/local admin for office hoteling/reservation tool
  • Assist with other projects, tasks and responsibilities as assigned.
Qualifications and Experience:
  • Diploma from a recognized Office/Business Administration Program or equivalent experience.
  • 3-5 years of experience in an Administrative or Office Manager role.
  • You must be located within Halifax, Nova Scotia
