Job Overview:
The shipping manager is responsible for the post-auction fulfillment process including the safe delivery and shipping of all items. The shipping manager also administers pickup appointment times and manages all pickup appointments.
Responsibilities and Duties:
Ensure strong customer service is delivered
Pre-auction
Responds to quote requests at shipping@ account, LiveAuctioneers and via Rogers Softphone
Manage shipping supplies by tracking levels, anticipating and ordering as required;
Manages shipping team staffing
Post-auction
Organize and oversee set up of shipping supplies and tables
Print pick sheets (updating scheduling of pickups, monitoring accounts for paid invoices)
Update pick up schedule
Create postal tags through Shippo and courier specific websites
Prepare required documentation (USMCA, Antique/Artist/Watch/Clock Declarations, CBP5106 Form), and reply to Customs agents when necessary.
Confirm with Canada Post, and arrange for delivery of packages to the Post office. Schedule FedEx and other courier or delivery pick ups.
Contact customers for information for documentation, address verification, scheduling pick ups or deliveries, and crate information and confirmation.
Contact freighting company for shipping quotes and arrange pickups
Coordinate crating with carpenter
Respond to customer concerns re: breakage or lost shipments; keep track of breakage, determine who was responsible and what happened, and initiate claims with the postal provider.
Collect data on shipping success, and customer feedback
Keep track of best practices for shipping
Tracks shipping costs
Initiate refund for overages
Follow up with customers on under quoted shipping
Key Skills and Qualifications:
Expert proficiency in Google Sheets and Google Workspace.
Expert knowledge of tariff guidelines, import and export regulations and ability to research international regulations
Experience working with historical objects, antiques or collectibles (major asset)
Advanced technical acumen and the ability to provide technical support and IT assistance to customers
Exceptional attention to detail
Time management skills and project management skills, consistently meeting deadlines and emphasizing the importance of accuracy and timeliness across all tasks
Ability to multi-task, prioritize tasks, and work in a loud and fast paced environment
Strong problem-solving abilities, demonstrating an independent and proactive approach to finding solutions

Qualifications:
Education level: College/University diploma or degree is preferred
Experience: Auction industry experience. An interest in collecting historic objects is a bonus.
