Titanium Ford is looking to hire a Service Reception team member with a passion for amazing customer service. The Receptionist/Appointment Coordinator/BDC Agent plays a crucial role in ensuring smooth operations within the Ford Service Department. This multi-faceted position involves handling customer inquiries, managing appointments, coordinating with the Service Advisors and Technicians, and providing exceptional customer service. Responsibilities: Customer Interaction:

  • Greet and welcome customers in a warm and professional manner
  • Address customer inquiries, whether in-person, over the phone, or through email.
  • Provide detailed information about the services offered by the Ford Service Department.
  • Assist customers with scheduling appointments for vehicle servicing, repairs, and maintenance.
Appointment Coordination:
  • Efficiently manage the appointment calendar to optimize the flow of service operations
  • Coordinate with Service Advisors to schedule appointments based on vehicle availability and workload.
  • Follow up with customers to confirm, reschedule, or cancel appointments as needed.
  • Ensure all appointments are properly logged and updated in the dealership\'s system.
Business Development Center (BDC) Duties:
  • Handle inbound and outbound calls to prospective and existing customers.
  • Engage with customers to promote service offers, specials, and maintenance packages.
  • Utilize the dealership\'s customer database to maintain accurate customer records and update contact information.
  • Foster customer relationships and ensure high levels of customer satisfaction.
Administrative Tasks:
  • Maintain a clean and organized reception area to create a welcoming environment for customers
  • Process paperwork related to customer visits, vehicle repairs, and service requests.
  • Assist in managing service-related invoices, payments, and transactions.
  • Collaborate with the Finance and Accounting team to ensure accuracy in financial records.
Customer Follow-up:
  • Conduct follow-up calls to customers to ensure their satisfaction with the service received.
  • Address any post-service inquiries or concerns promptly and professionally.
  • Gather feedback from customers to identify areas for improvement and report them to management.
Service Department Support:
  • Assist Service Advisors and Technicians with administrative tasks, as needed.
  • Help maintain an adequate inventory of office supplies and service department materials.
  • Support the service team in delivering exceptional customer experiences.
Requirements:
  • High school diploma or equivalent; additional education or training is a plus.
  • Proven experience in a receptionist, customer service, or automotive service-related role.
  • Knowledge of Ford vehicles and automotive services is highly desirable.
  • Excellent communication skills, both verbal and written.
  • Strong interpersonal skills and a friendly, customer-centric approach.
  • Proficiency in using computer systems, including customer databases and appointment scheduling software.
  • Ability to multitask, prioritize tasks, and work in a fast-paced environment.
  • Detail-oriented and able to maintain accurate records and documentation.
  • Professional appearance and conduct at all times.
  • Flexibility to work extended hours, weekends, and holidays, as needed.
Wage:
  • $18-$26 per hour, depending on experience
