Position Overview:



As a

Service Coordinator

, you'll be the backbone of our operations--keeping technicians on schedule, customers informed, and the office running smoothly. You'll handle scheduling, invoicing, customer service, store sales, and support daily operations in a variety of ways. If you enjoy juggling tasks, solving problems, and keeping things organized we would love to meet you.

Key Responsibilities:



Scheduling & Dispatching:

Coordinate service appointments for technicians based on availability, location, and customer needs

Customer Service:

Answer phones, respond to inquiries, assist with quotes and service updates. Provide top-notch support to clients before, during, and after service.

Invoicing & Billing:

Prepare service invoices, process payments, and maintain accurate customer records

Sales Support:

Assist with in-store sales of fire extinguishers, safety gear, signage, and related equipment

Inventory & Supplies:

Monitor stock levels, restock shelves, and coordinate ordering with suppliers

Technician Support:

Ensure techs are equipped with proper paperwork, service tools, and scheduled efficiently

Documentation & Compliance:

Maintain service reports and inspection records in accordance with fire safety codes and standards

General Office Support:

Filing, data entry, follow-up calls, and anything else that keeps the operation running smoothly

What We're Looking For:



Experience in a service coordinator, admin, or customer service role (fire & safety or trades industry experience is a plus) Strong organizational skills and the ability to multitask in a fast-paced environment Proficient in Microsoft Office and familiar with QBO and CRM Great phone manner, attention to detail, and a can-do attitude A team player with the ability to work independently and take initiative Excellent written and verbal communication High attention to detail and ability to problem-solve on the fly Ability to thrive in a busy, team-oriented environment High school diploma or equivalent (Business Administration preferred)
