The

Service Coordinator

plays a vital role in ensuring the seamless delivery of our fire protection services. This role drives operational excellence by coordinating technicians, managing schedules and work orders, and maintaining data integrity. Acting as a key point of contact for customers, the Service Coordinator enhances the client experience through clear communication, timely service, and proactive problem-solving.

CORE AREAS OF RESPONSIBILITIES



Service Coordination & Scheduling

Schedule, track, and monitor contracted and code-required inspections to ensure timely completion and compliance with fire and life safety standards. Collaborate with technicians and relevant parties to coordinate and schedule repairs efficiently. Participate in pre-inspection and service execution planning. Generate technician timecards, enter site-specific information, and validate site contacts while maximizing productivity and logistical routes prior to dispatch.
Customer Service Excellence

Interact with customers to organize precise inspection and repair scheduling, including third-party contracts to secure purchase orders or meet specific job requirements. Handle incoming customer inquiries via phone (queue, direct line) and email (Outlook, HubSpot, Zendesk). Create general service tickets for customer service inquiries. Participate in technician/customer field rides to improve business acumen and code compliance.
Other Administrative Tasks

Manage, organize, and maintain customer work order systems to ensure timely execution and closure of work orders. Run query reports, research, and reconcile coding errors such as labor hours, material purchases, expenses, and other billable service-related transactions (Sedona). Advise Billing Coordinators of any site-specific details impacting billable hours. Maintain data integrity across all scheduling platforms, including repair letters, customer quotes/approvals, backflow reports, and technician timecards.

Customer Service Experience:

Strong customer service skills, with the ability to clearly explain information and resolve inquiries. Experience in a service-based industry is preferred, with bonus points for experience in the fire industry.

People-Focused:

Collaborative team player who works effectively with field technicians and support teams, with a genuine passion for building lasting relationships.

Detail-Oriented & Organized:

Strong attention to detail, process flow, and analytical skills. Able to manage multiple time-sensitive responsibilities and adapt to a fast-paced environment.

Tech-Savvy:

Proficient in Microsoft Suite programs (Word, Excel, Outlook, etc.) and experienced with work order systems and related processes.

Adaptable & Solution-Oriented:

Comfortable adjusting to changing customer and business needs while maintaining quality and efficiency.

Pay: From $25.00 per hour
