The primary liaison between our customers and the service department. This individual ensures that all service work is scheduled, documented, communicated, and completed efficiently. They play a key role in supporting the Service Manager, coordinating technician workloads, preparing quotes and work orders, and ensuring a smooth flow of information between customers, technicians, and management.
C. Essential Tasks and Responsibilities

Customer Service & Communication
Greet and communicate with customers regarding service needs and repair status.
Prepare, review, and issue work orders based on customer requests and technician assessments.
Provide clear and timely updates to customers on job progress, estimates, and completion timelines.
Handle incoming service calls, emails, and inquiries, ensuring prompt follow-up.
Scheduling & Coordination
Schedule and dispatch service technicians for in-shop and field service work.
Manage the service calendar to optimize resource allocation and minimize downtime.
Coordinate with parts and sales departments to ensure required materials are available for jobs.
Administrative & Technical Support
Create, update, and close service work orders in the ERP system.
Prepare service quotes, cost estimates, and final invoices for approval.
Maintain accurate service records, timesheets, and warranty documentation.
Track equipment history and service intervals for key accounts.
Operational Support
Assist the Service Manager with reporting, job costing, and workflow improvements.
Support inventory and parts returns related to service jobs.
Monitor technician productivity and assist in maintaining safety and quality standards.
D. Education and Experience
A comparable amount of training and experience may be substituted for the minimum qualifications.
Previous experience as a Service Writer, Service Coordinator, or similar administrative role (industrial, mechanical, or automotive sectors preferred).
Technical knowledge of hydraulics, pneumatics, or mechanical systems is a strong asset.
Proficiency with ERP systems and Microsoft Office Suite (Excel, Word, Outlook).
