We are seeking a detail-oriented and organized Appointment Coordinator to join our service team. In this role, you will be responsible for managing scheduling, coordinating appointments, and providing exceptional customer service to ensure a smooth and efficient operation. The ideal candidate is proactive, communicative, and capable of handling multiple tasks with professionalism and accuracy.
Responsibilities
Schedule and confirm appointments with clients via phone, email, or online systems
Manage appointment calendar to optimize scheduling efficiency
Reschedule or cancel appointments as needed, communicating changes effectively to clients and staff
Maintain accurate records of all appointments and client interactions
Respond promptly to client inquiries and provide excellent customer service
Coordinate with team members to ensure all necessary resources are prepared for upcoming appointments
Follow up with clients post-appointment to gather feedback or reschedule future visits
Assist in administrative tasks such as data entry, filing, and managing correspondence related to appointments
Skills
Excellent communication skills, both verbal and written
Strong organizational skills with attention to detail
Ability to multitask and prioritize in a fast-paced environment
Proficiency in scheduling software or CRM systems; experience with Microsoft Office Suite is a plus
Customer service-oriented mindset with a professional demeanor
Ability to handle sensitive information confidentially
Previous experience in administrative support or appointment setting is preferred but not required
Job Types: Full-time, Permanent
Pay: $17.50-$19.50 per hour
