The Service Administrator role plays a key part in the success at Tragically Vital. We are looking for a competent Service Administratorto provide various administrative and customer service support. You will undertake a variety of activities in the office ranging from invoicing and answering the phone to basic bookkeeping. An effective Service Administrator will work diligently to help maintain a high level of customer service and office operations. You must be reliable and hardworking with great communication skills. The ideal candidate will also be familiar with office equipment and procedures. As our front-line contact for each client, professionalism is a must and customer service skills are essential. Position: Administrative Assistant
Location: Calgary
Job type: Full-Time, Monday - Friday
Pay: $18 - $22 per Hour
RESPONSIBILITIES:
• Answer and direct phone calls in a polite and professional manner
• Provide exceptional customer service by communicating daily with customers via telephone, email, and in person
• Daily call log record keeping
• Passion for coffee and willingness to learn products and services
• Prepares professional correspondence for internal and external parties and customers
• Accurate data entry and invoicing
• Accounts payable and accounts receivable duties
• Verifies vendor accounts by reconciling monthly statements and related transactions
• Credit card reconciliation compilation
• Tracking, auditing, and updating company documentation
• Ordering office supplies
• Collecting, organizing, and filing documentation
• Provide administrative support to managers and employees
• Conduct all work in accordance with company procedures, details provided upon hiring
• Other duties and responsibilities as required
QUALIFICATIONS:
• The qualified candidate must have a high school diploma or equivalent
• Previous administrative experience required
• Proficiency in Microsoft Office
• Experience within QuickBooks
• Teamwork is a priority and must be willing to work with and assist co-workers as needed
• Customer focused, works well under pressure, and maintains a friendly, positive attitude and strong work ethic to meet deadlines
• Detail orientated and excellent organizational & interpersonal skills
• Exceptional verbal and written communication skills
• Must thrive in fast paced and ever evolving work environment
• Must be able to work efficiently to service multiple customers using problem-solving skills
• Excellent time management skills and the ability to prioritize work
• Willingness to learn and can work independently
• Working knowledge of office devices and processes
• Experience in Dispatch is an asset
• Must provide a Background Check & references
• Must have a valid class 5 Driver's License
