Job Description


SummaryReporting to the Service Division Manager, the primary responsibility of the Service Administrator is to assist in maintaining a productive and efficient Service operation within Saskatoon and surrounding area. This will be accomplished through performance of dispatching and administrative duties ensuring that standard company procedures and specific instructions are followed. The Administrator will maintain JDE which would include posting of labour hours (time entry), equipment/materials and purchase orders to work orders, commenting and closing work orders, changing of work order statuses, maintaining asset data, managing work order back log, and WO preparation for invoicing. 3-months Temporary position- may lead to permanent.Duties and responsibilities include but are not limited to:

  • Work with Service Supervisor to ensure Preventative Maintenance (PM) Work Orders (WOs) are complete and are not outstanding for more than 30 days.
  • Review PM hours (actual vs estimated) and notify Service Supervisor and Division Manager of discrepancies
  • Customer Service duties; investigate and resolve customer inquiries/concerns and respond in a timely manner, obtain approval from all main contract contacts to complete an annual Customer Survey in order to maintain or increase service quality, and compile reports related to customer reviews
  • Dispatch duties; taking service calls from customers, creating WOs/POs for technicians, ensuring work schedule is current, and consistent follow up on aging WOs with technicians
  • HR related duties; updating employee database, accurate time entry and ensuring technician safety tickets are current
  • Accurate and timely documentation and filing; submitting permits for plumbing, electrical and gas, creating WOs for project managers as requested, ensure Service Reports are received for PM hours worked on PM Work Orders, and maintain an organized system of filing for both hardcopy and electronic records

Education & Skill Requirements
  • Minimum 5 years relevant experience or a diploma in administration required
  • Knowledge of Black & McDonald Limited
  • Thorough knowledge of Computer Programs and Microsoft Office Suite
  • Ability to communicate clearly and effectively and relate to technicians, customers and co-worker needs
  • Geographical knowledge of service area or map reading skills
  • Knowledge of industry is recommended, but not required
  • Previous use and knowledge of JD Edwards will be considered an asset
