Service Administration Team Lead

Job Description


In this role as Service Administration Team Lead, you will support Field Operations and be accountable for day-to-day performance of the billing department. You will strive to continually support improvement objectives, working closely with the Site Supervisors and Operations Managers. Your main responsibilities will include:

  • Supervising the administration team \xe2\x80\x93 from work assignments, tracking new projects, coaching/mentoring, managing time off, reviewing salaries, performance reviews, defining training needs and conflict resolution.
  • Overseeing all customer\xe2\x80\x99s field invoices from contract set-up to invoicing.
  • Assisting in the development, monitoring, and tracking of current and on-going projects as needed.
  • Cross-training staff and creating improved process flows. Continually monitoring training needs and aligning them to all locations.
  • Working with Accounts Receivable to ensure accurate information.
  • Monitor the team\xe2\x80\x99s workload and schedule to ensure that the coordinators are up to date and working efficiently with accurate outputs.
  • Ensure there are the most efficient processes to provide the supporting documentation required for all customer specific billing.
  • Act as backup for your team when additional assistance is required, including but not limited to vacation coverage, staff shortages, and backlog.
  • New hire orientation and onboarding of new staff associated with your department.
  • Special Projects and other duties \xe2\x80\x93 as assigned (special quotes, organizing/billing large jobs, etc.)
  • Requirement to travel with overnight stays on occasion (10%).
To be successful, you will possess:
  • 2-3 years\xe2\x80\x99 experience in a people management role, preferably in a rail or technical industry
  • Highly detail-oriented with exceptional customer service skills \xe2\x80\x93 you must be passionate about making quality personal!
  • Exceptional communication skills and comfortable working cross-functionally with other teams.
  • Proven organizational, planning, and prioritizing skills.
  • Self-motivated; ability to problem solve and have strong analytical skills.
