Role Description
This is a full-time on-site role for a Senior
Real Estate Administrator, located in Brampton, ON
. We are
seeking a highly organized and detail-oriented Senior Real Estate
Administrator
to support our dynamic real estate team. This role is ideal for a professional with strong administrative experience in real estate operations who can manage complex documentation, coordinate transactions, and ensure compliance with industry regulations. Responsibilities include overseeing listing and closing processes, managing client and agent communications, maintaining accurate records, and supporting day-to-day office operations. You will act as a key point of contact between
agents, clients, legal professionals and regulatory bodies, ensuring smooth
operations and adherence to brokerage policies and RECO regulations. The ideal
candidate is proactive, resourceful, and thrives in a fast-paced, team-oriented
environment.
Qualifications
2+years of experience in real estate administration within brokerage setting
Strong understanding of RECO compliance requirements
Proficient in real estate software such as Lone Wolf, WebForms, TREBB MLS, and Broker Bay, REALM, Microsoft Office Suite and office management software
Exceptional organizational, time-management, and communication skills
Ability to work independently and manage multiple priorities in a fast-paced
environment
Answering phone calls for agents, clients, other organizations, deal secretaries and legal professionals and greeting clients
Maintaining accurate records, documentation and deal files
Monitoring office supply levels, placing orders, and coordinating with vendors to
ensure the office remains well-stocked and organized
Generating commission invoices, issuing cheques, EFTS and Wire Transfers with all Banking institutions
Verifying all deal paperwork is complete, accurate, and compliant with RECO and
brokerage regulations
Organizing and maintaining both digital and physical filing systems for efficient
record-keeping
Managing agent onboarding, terminations, licensing renewals and inter-brokerage transfers
Tracking incoming commissions and processing commission disbursements and agent payouts via LoneWolf
Recording and reconciling office expenses and producing monthly financial summaries
Managing RECO compliance audits and assisting with related financial reporting
NOTE: Resumes without Real Estate experience with LoneWolf will be dismissed.
