The BC Suburban Group, located in Burnaby, BC, is looking for a Senior Property Administrator, Accounting to drive a number of accounting functions. The Senior Property Administrator is to report to the Property Manager, and will be working in an office with a group of Property Managers, Building Operations staff, Property Administrators, Accounting, and Property Administrators, Operations.Seventy-five percent of this position is responsible for the day-to-day payables, receivables, including accounts receivable collection, related reporting, budgeting assistance and Yardi lease administration functions. The Senior Property Administrator is a \xe2\x80\x9chands on\xe2\x80\x9d, non-management position working closely with the regional finance teams, property management teams and tenant and service provider clients.RESPONSIBILITIES

  • Within the limits of applicable policies, procedures and established plans the Property Administrator has the responsibility and authority to make decisions and take action as follows:
  • Ensure that GWLRA core values are observed and practiced.
  • Develop and maintain an excellent rapport level with tenants, vendors and GWLRA staff.
  • Ensure that all information seen and dealt with in the course of business is kept confidential.
  • Must develop and maintain a positive and professional working attitude.
  • Overall goal is to ensure standard accounting practices are observed and that all work performed is accurate and performed efficiently.
  • Informal lead for the Property Administrator, Accounting.
  • Assist with training others, as required.
Accounts Payable
  • Coding corporate and property management invoices using the coding conventions set out by each department:
  • Attention to chart of accounts and annual budget.
  • Full completion of coding blocks, including description field.
  • Confirm holdback amounts and amounts paid to date from vendor invoices to the accounting information system.
  • Invoice control:
  • Match all purchase orders to invoices.
  • Ensure proper approval on all invoices.
  • Ensure all data related to payable is accurate.
  • Vendor queries:
  • Attend to vendor queries in a timely and courteous manner.
Accounts Receivable
  • Receivables Processing:
  • Process receivables through cheque deposits.
  • Post direct deposit and wire transfer transactions.
  • Initiate the process for charge backs and forward invoices once produced.
  • Depositing cheques:
  • Credit the appropriate project and lease in Yardi.
  • Apply payments to the correct charges.
  • Deliver cheque deposits to the designated bank, if necessary.
  • Open Item Applications:
  • Review receivables sub-ledger for unapplied items, and application thereof on a daily basis.
  • Initiate write-off of all sundry receivables (over $2) with PM approval, as required.
  • Arrears Collection:
  • Contact all tenants in arrears on an as required basis.
  • Send out statements on the 5th day of the month.
  • Review A/R with Property Managers by the 10th of each month, along with a follow up meeting no later than the 27th of each month.
  • Draft legal notices for amounts past due.
  • Annual Rent Notices and Common Area and Property Tax Reconciliations to tenants.
  • Forward annual rent notices to all tenants in a timely manner.
  • Forward Common Area and Property Tax Reconciliations to Tenants as they are completed and available.
  • Assist in answering tenant questions regarding reconciliations should they arise.
Reporting
  • Generate reports as required and requested.
  • Assist with other Property Management reporting as necessary.
Budgets
  • Assist with the preparation of the budgeted sundry revenue, and operating expenses for the preparation of the budget package.
  • Assist with operating expenses input
QUALIFICATIONS
  • 5+ years of Accounts Payable and Accounts Receivable experience
  • Post-secondary education in Accounting or Business Administration is an asset.
  • Enrolment in a professional accounting program (i.e. CPA) is an asset.
  • Must be computer literate in Microsoft Word and Excel, have a high degree of accuracy, pay great attention to detail and be able to work under tight deadlines.
  • Experience with Yardi 7S is an asset.
  • A positive attitude with exceptional interpersonal skills and written, verbal communication skills.
  • Must be able to work in a team environment, as well as independently.
  • Excellent customer service skills with the ability to meet the needs of clients.
  • Proven organizational and multi-tasking skills; able to cope with changing client needs and deliver successful results within a time gram.
  • Self motivated, professional and flexible.
  • Able to lead and train other team members.
