Job Title Senior Portfolio Administration Coordinator (Bilingual)
Summary Responsible for reviewing leased and owned property documents as well as compiling and maintaining critical location data including financial and contractual obligations as part of the lease administration process. This position may be assigned to one or more accounts/clients.

Essential functions and responsibilities

  • Review, abstract, and/or perform quality control data audits of documents including updating and maintaining all lease information and data in our technology information systems, as required
  • Ensure proper document management measures are followed for all leased, owned and other associated documents. Maintain file retrieval/storage, scan documents, and open/distribute mail
  • Review client invoices in conjunction with lease requirements and collect proper supporting back-up documentation from landlords/billing authorities and confirm all calculations are correct
  • Conduct desktop audits of Year-End Common Area Maintenance (CAM), Insurance, and Real Estate Tax reconciliations, interpret, and analyze all charges for accuracy, in accordance with lease documents. Directly responsible for dispute resolution with landlord for any identified discrepancies
  • Responsible for ensuring the financial obligations of our Clients is accurate and that monthly rents are processed in a timely manner
  • Oversee and manage the subtenant process including the recording and collection of monthly rent and the pass-through of invoices and year-end reconciliations
  • Communicate frequently with internal and external partners. Notify client of critical dates, real estate policies and procedures, and assist with general inquiries
  • Request and process certificates of insurance as required by the lease document
  • Review Estoppels and Subordination Non-Disturbance Agreements (SNDA's) against the lease terms
  • Regularly exercises good judgment and logic in responding to leased and owned property inquiries from the client and/or landlords
  • Ensure that productive landlord and subtenant relationships are maintained in accordance with the lease and sublease agreements
  • Establish task priorities and create schedules for portfolio objectives
  • Able to manage multiple projects/priorities in a fast-paced environment
  • Assist managers with timely and accurate financial and critical date reports for client presentment, identify and record savings, identify exceptions, investigate causes of exceptions, and recommend solutions
  • Assist or oversee special projects as requested by the client or leadership
  • Partner with the manager and transition team to get new accounts established quickly and smoothly
  • Assist manager or oversee the creation and continuous updates to process playbooks
  • Provide guidance and direction to other Portfolio Coordinators on various tasks and projects
  • Train new associates
  • Continuously seek business expansion opportunities with existing clients and develop those opportunities
  • Stay up to date on the latest industry standards and trends

Education
  • High School diploma or GED required
  • Bachelor's Degree preferred in any field; business, finance/real estate, accounting ideal
Additional eligibility qualifications
  • 2+ years of experience in auditing or related field
  • Expertise in cost analysis, gross up calculations, review of ledgers, contracts, and other financial books and records
  • Ability to understand and interpret complex real estate lease terminology
  • Working knowledge of financial terms
  • Strong proficiency with MS Office Suite (MS Word, Excel, and PowerPoint)

  • Examiner, resumer et/ou effectuer des audits de controle qualite des donnees provenant des documents, y compris la mise a jour et le maintien de toutes les informations et donnees de baux dans nos systemes d'information technologique, selon les besoins.
  • Veiller a ce que les mesures appropriees de gestion documentaire soient respectees pour tous les documents lies aux proprietes louees, detenues et autres documents associes. Gerer l'archivage et la recuperation des dossiers, numeriser les documents et gerer l'ouverture/distribution du courrier.
  • Examiner les factures des clients conformement aux exigences des baux, recueillir les documents justificatifs appropries aupres des proprietaires/autorites de facturation et verifier l'exactitude de tous les calculs.
  • Effectuer des audits a distance des regularisations de fin d'annee liees aux frais d'entretien des parties communes (CAM), a l'assurance et aux taxes foncieres, interpreter et analyser toutes les charges pour en assurer l'exactitude, conformement aux documents de bail. Responsable directement de la resolution des litiges avec les proprietaires en cas d'ecarts constates.
  • S'assurer que les obligations financieres de nos clients sont exactes et que les loyers mensuels sont traites en temps opportun.
  • Superviser et gerer le processus des sous-locataires, y compris l'enregistrement et la collecte des loyers mensuels ainsi que la repartition des factures et regularisations de fin d'annee.
  • Communiquer frequemment avec les partenaires internes et externes. Informer le client des dates critiques, des politiques et procedures immobilieres, et repondre aux demandes generales.
  • Demander et traiter les certificats d'assurance requis par le bail.
  • Examiner les attestations (Estoppels) et les accords de subordination et de non-interruption (SNDA) en fonction des termes du bail.
  • Faire preuve regulierement de jugement et de logique pour repondre aux questions du client ou des proprietaires concernant les proprietes louees ou detenues.
  • Veiller au maintien de relations productives avec les proprietaires et les sous-locataires, conformement aux termes des baux et sous-baux.
  • Definir les priorites des taches et etablir des calendriers pour les objectifs du portefeuille.
  • Etre en mesure de gerer plusieurs projets et priorites dans un environnement dynamique.
  • Aider les gestionnaires a produire des rapports financiers et de dates critiques de maniere ponctuelle et precise pour presentation au client, identifier et enregistrer les economies realisees, detecter les anomalies, en rechercher les causes et proposer des solutions.
  • Assister ou superviser les projets speciaux demandes par le client ou la direction.
  • Collaborer avec le gestionnaire et l'equipe de transition pour etablir rapidement et efficacement les nouveaux comptes.
  • Aider le gestionnaire ou superviser la creation et la mise a jour continue des manuels de procedures.
  • Fournir des conseils et une orientation aux autres coordonnateurs(trices) de portefeuille sur diverses taches et projets.
  • Former les nouveaux collaborateurs.
  • Rechercher en continu des opportunites d'expansion d'affaires aupres des clients existants et les developper.
  • Se tenir a jour sur les dernieres normes et tendances du secteur.

Formation
  • Diplome d'etudes secondaires ou equivalent (GED) exige
  • Baccalaureat prefere dans tout domaine; une formation en affaires, finance/immobilier ou comptabilite est ideale
Qualifications supplementaires requises
  • Minimum de 2 ans d'experience en audit ou dans un domaine connexe
  • Expertise en analyse des couts, calculs de majorations (gross-up), examen de grands livres, de contrats et d'autres documents financiers
  • Capacite a comprendre et a interpreter une terminologie complexe liee aux baux immobiliers
  • Connaissance pratique des termes financiers
  • Maitrise avancee de la suite Microsoft Office (Word, Excel et PowerPoint)
The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $ 55,547.50 - $65,350.00
