About the Role



We're looking for a

Contract Manager-

a proactive, detail-driven professional who owns the transaction file from the moment a contract is signed to the moment the keys are handed over.

This is not a back-office admin role- this is a

client experience and operations leadership position

, responsible for ensuring every transaction runs smoothly, every detail is tracked, and every client feels cared for throughout the process.

What You'll Do



Contract Fulfilment & Compliance



Track, coordinate and fulfil all key contract deadlines (inspections, financing, contingencies, closing dates). Review and ensure all documents are fully executed, compliant, and properly stored. Draft, update, sign and manage files. Conduct a final review and compliance check before closing.

Process Management & Improvement



Maintain and improve transaction checklists and workflows for efficiency and consistency. Identify opportunities to enhance client experience and streamline operations. Support the growth of the team by building scalable systems and maintaining process integrity.

Transaction Leadership



Take full ownership of the file -- from executed contract to successful closing. Oversee the entire transaction process, ensuring accuracy, compliance, and timeliness. Anticipate challenges and proactively resolve issues before they become problems. Collaborate with agents, clients, attorneys, lenders, and title companies to keep every file on track.

Client & Partner Communication



Serve as the main point of contact for clients during the contract-to-close phase. Provide clear updates, set expectations, and guide clients through each milestone. Maintain professional communication with cooperating agents, lenders, and attorneys. Deliver a consistent, high-touch experience that builds trust and long-term loyalty.

Who You Are



Exceptionally organized and detail-oriented -- you love creating, executing and completing a good checklist. Calm and confident under pressure -- you're the steady hand that keeps everyone grounded. A clear communicator -- both written and verbal. Tech-savvy -- comfortable managing CRM systems and Google Workspace. A team player who values relationships, but can also work independently and take initiative. Someone who finds fulfilment in seeing a file through to a flawless close.

Qualifications



2+ Years in Contract fulfilment (or equivalent) Proficiency in Google Workplace, CRM systems Strong understanding of real estate contracts, timelines, and compliance requirements (or ability & willingness to learn) Exceptional organizational and problem-solving skills A client-first mindset and ability to juggle multiple files with accuracy and care

Compensation & Perks



This is a

salaried, full-time role

(37.5 hours/week) in office.
