As a Senior Operations Manager at JLABS, you will play a crucial role in ensuring the seamless functioning of our facility while prioritizing health & safety, property, customer satisfaction and program growth. Your responsibilities will encompass a wide range of operational, customer-centric, compliance, and financial aspects, including overseeing resident on/offboarding processes, managing customer experiences, and fostering strong partner relations. Your strategic leadership will be instrumental in maintaining regulatory compliance, enhancing customer engagement, and driving facility excellence.

The physical operation of the incubator facility is the most critical risk aspect of the JLABS Incubator business because of the Environmental Health and Safety, Intellectual Property and security risks involved in such an operation. It is also of upmost importance to protecting the J&J brand given the scope of supporting up to 50 different legal entities on site. Given the high level of risk with operating such a facility, the Senior Operations Manager partners closely with internal J&J stakeholders as well as their site team the manage and mitigate such risks. Additionally, the senior manager will lead all emergency response procedures, manage regulatory compliance, and lead continuous improvement projects to optimize operational efficiency. This position is on call 24/7.

Key Responsibilities

Compliance & Risk Management: Environmental Health & Safety, protection of property and compliance to local regulations and J&J corporate policies:

  • Leads local site audits for safety and compliance with applicable regulatory requirements and the J&J Corporate Risk Mitigation Plan. In addition, the senior manager documents all audit plans, prepares all reports, and monitors all corrective actions according to the business and regulatory standards. Reviews internal controls, report results, and makes recommendations for process improvements.
  • Responsible for planning and implementing the response to any major threat to life safety, security, or property by continuously identifying potential risks, prepare contingency and recovery plans, and manage resources. The senior manager may be the only JLABS team member on site during times of crisis to maintain safety, compliance and ensure the site remains operational and customer needs are met.
  • I n partnership with key stakeholders (EH&S, Security, Finance, Marketing), assesses the impact of environmental, health and safety laws and regulations as they affect the business and its operations. Tracks new regulations as they develop.
  • Formulates and implements standard operating procedures and policies, advises senior management on the compliance status, costs and technical improvements needed to achieve compliance.
  • Serves as the senior operations leader onsite to manage emergency response to situations in the lab and to liaise with external stakeholders such as fire and police departments, regulatory agencies, etc.
  • Chairs the Site Safety Committees.
  • The senior manager is on call 24/7 and will need to be trained in media relations in the event of an emergency.
Site Leadership: People management, strategic operations, and continuous improvements
  • \xe2\x80\xa2 Provides strategic direction, leadership, and performance management to oversee all facets of the service delivery model including but not limited to, day to day facility operations, strategic facility planning, compliance, facility & laboratory equipment maintenance and purchases, all soft services (mailroom, housekeeping, conference room management, shipping & receiving, etc.), security, IT services, and EH&S. This is accomplished through applying proven leadership abilities, experience, and knowledge while strictly adhering to regulatory/compliance procedures and requirements.
  • Directly manages a team of 3 to 5 on-site service providers to ensure the attainment of the company\'s aims relative to business operations, finance, environmental, health and safety outcomes, security, facilities & maintenance, security, laboratory management, regulatory compliance, and customer service.
  • Selects and provides clear direction for direct report (s) and service providers on expectations, develops and implements clear & achievable service levels with remediation and escalation procedures for disputes and oversees all contractor delivered programs to ensure adherence to JLABS standards and policies.
  • Directly accountable for developing and managing the operational expense budget, driving cost reductions, cost efficiencies, and optimized contractor management. Leads and implements the JLABS operating model which includes onboarding activities (pre-move-in, move in), ongoing facilities/equipment/EH&S/security management, overall laboratory management and off-boarding activities for both JLABS and Resident Companies.
  • Responsible to represent the company on all regulatory inspections, enforcement actions, citations, informal conferences, and settlement agreements.
  • Directs and coordinates construction activities to ensure project delivers business & customer value, for agreed scope, on schedule, within budget, and at a defined quality level including managing issues, decisions & risks, and escalation to sponsors as needed.
  • Ensures the facility is always maintained in perfect condition and is ready to be showcased to potential companies, senior executives, high level government officials, foreign dignitaries, etc
Portfolio Engagement and Service Delivery: Management, guidance, and support to Resident Companies through their recruitment, onboarding, residency, growth, graduation and beyond:
  • Manages the process of recruiting and onboarding new potential portfolio companies.
  • Has overall accountability for ensuring on site customer satisfaction through the effective management of the customer service function and platform. Accountable for planning, organizing, and directing staff in providing timely responses to customer inquiries and resolving customer issues.
  • Continuously solicits stakeholder feedback on JLABS program and appropriately leverages the feedback to establish goals, direction, and a vision to improve or expand the program with a focus on portfolio, cost savings and scalability
  • Responsible to increase the JLABS network in the region by building relationships with healthcare & biotechnology agencies to leverage opportunities for operations and portfolio of companies.
  • Manages the process of off-boarding companies and ensures compliance to local regulations and J&J policies while ensuring a seamless and positive customer experience.
  • Overseas the Alumni continued access to the JLABS facility program by identifying equipment, developing pricing structures and procedures
  • Collaborates with the JLABS Team and Resident Companies to identify new service and product offerings to help build the JLABS brand and benefits to better serve our customers to accelerate their innovations and product developments
  • Sources and implements future life science technology capabilities through interaction and validation with business partners and Resident Company scientists to ensure JLABS maintains the leading edge in scientific core capabilities.
  • Provide leadership for special projects, such as vendor management, risk assessment, and strategic facility planning
Financial Management & Partner Relations: Sponsorship sales and site operational budget:
  • Participate in partner operations and facilities meetings to contribute to strategic discussions
  • Manage and drive cost savings across operational budgets and procurement processes, identify operational efficiencies, and actively contribute to annual business planning and forecast cycles
  • Increases revenue for the business by selling vendor sponsorships and building a network of external providers that help deliver benefits that reduce the cost of doing business of JLABS Companies
Additional Responsibilities include but are not limited to:
  • Lead continuous improvement projects to enhance operational efficiency and effectiveness.
  • Leverage technology platforms (JForce/Salesforce, HubSpot, etc.) for seamless site Operations & Customer experience.
  • Develop, manage, and foster a collaborative environment across the team to enhance communication, productivity, and operational effectiveness
  • Ensure that all JLABS Resident services and support processes meets JLABS missions and goals.
  • You will serve as the Global Project Manager on a minimum of 2 operational activities by working across a global cross functional team within JLABS (operations, marketing, communications, leadership) and with others in the J&J organization to own the global responsibility for an operations function: Security, EFM, Risk Management, EHS, Cell Analysis, 3-D Printing, DNA Sequencing, Liquid Chromatography, etc.
Requirements:
  • Bachelor\'s degree in science, Engineering, , or a related degree required.
  • 10-15 years of experience in in life science R&D laboratory operations/management required
  • Demonstrated experience developing, implementing Standard Operating Procedures, Guidelines and Policies for life science R&D laboratories required
  • Demonstrated experience managing others required.
  • At least 5 years of experience overseeing EH&S programs in a life science R&D laboratory required.
  • Broad understanding of life sciences research equipment required .
  • Demonstrated experience in managing supplier relationships required.
  • Proven experience in operations management, customer service, and compliance within laboratory environments required.
  • Strong leadership skills with a focus on strategic planning and team coordination.
  • Excellent organizational and multitasking abilities, with attention to detail required.
  • In-depth knowledge of safety protocols, regulations, and compliance in laboratory settings required.
  • Excellent interpersonal, verbal, and written communication skills required .
  • Experienced at building strong and meaningful business relationships required.
  • Proficiency in relevant software platforms (HubSpot, Zendesk, Microsoft Office) preferred.
  • Proven success within a highly matrixed organization preferred.
  • Broad understanding of facilities management preferred .
