Position: Senior Office Administrator - Real Estate Development
Location: North York, Toronto (Fully On-site)
Salary: Up to $70,000

We are seeking an experienced and skilled Senior Office Administrator with proven expertise in providing comprehensive secretarial, legal, and administrative support.

The ideal candidate will play a crucial role in assisting this Real Estate development firm in managing day-to-day operations, facilitating efficient communication, and ensuring the seamless execution of administrative functions.

Key Responsibilities:

- Serve as the primary point of contact for project-related inquiries, client queries and, internal corporate dealings
- Manage and maintain project documentation - including sales, planning and legal documents
- Support coordination and organization of office and project-related meetings and schedules
- Facilitate effective communication between internal teams, clients and external stakeholders
- Provide comprehensive administrative support throughout the project lifecycle - including (but not limited to) preparation of correspondence, support with crafting and delivery of internal/external memos, minutes, proposals, client briefings, entering/logging deals, reports, and other project-related materials
- Maintain an organized filing system for project-related documents
- Assist in financial management, including budget tracking and invoicing
- Ensure effective compliance with new home sales regulations and standards
- Contribute to process improvement initiatives with the administrative domain

Requirements:

- At least 5+ years of advanced experience in an Administrative Support capacity
- Experience as an Executive Assistant is an asset
- Degree or diploma in Business Administration, Real Estate, Law, or a related field is preferred
- High proficiency in Microsoft Office - including MS Word, Outlook, Excel
- Experience with Real Estate project management software is an asset
- Familiarity with the real estate industry and/or real estate development process and industry standards
- Exceptional organizational and time-management skills
- Strong communication and interpersonal skills
- Proven ability to manage multiple tasks efficiently and effectively
- Ability to handle sensitive information with utmost confidentiality
- Detail-oriented approach with strong analytical and problem-solving skills
- Experience in managing confidential information with discretion
- Strong ability to provide effective communication and collaborate with cross-functional teams
- Ability to work independently and as part of a team
- Enthusiasm for continuous learning and professional development in the real estate sector

This role is best served by a dynamic, results-driven individual looking for longevity within a client-centric organization.
