Job Description


The Office of Councillor Sarah Hamilton, Ward sipiwiyiniwak, invites you to consider this opportunity to work in a fast-paced and dynamic environment. We are looking for a seasoned communicator who demonstrates leadership, political acuity, strong problem-solving and excellent analytical skills. As the Senior Council Assistant, you will work closely with the Councillor and Executive Assistant to provide direct support and further advance the objectives of the office.

The successful candidate is expected to establish and maintain positive relations with internal and external stakeholders, including community groups and constituents. Work is expected to be performed with a high degree of independence and the use of initiative and sound judgement under the direction of the Councillor.

Duties and Responsibilities:

  • Lead the coordination of public communication material that may include email, letters, newsletters, website blogs, social media, briefing notes, speeches, town hall meetings and reports
  • Lead social media management, including monitoring community groups and publishing relevant and engaging material
  • Ensure accurate communication of the views and positions of the Councillor
  • Monitor and evaluate community response to City policies and proposed policies
  • Prepare appropriate materials and background information as required for Council and Committee meetings, meetings with community organizations and groups, board meetings, and events
  • Respond to constituent communications by phone and email, including resolving citizen inquiries and coordinating information flow with relevant departments
  • Provide strategic advice to the Councillor on communications and policy matters
  • Manage media inquiries and maintain positive relations with media contacts
  • Provide leadership on communications and issues management
  • Establish and maintain positive relations with City Administration and liaise with different departments within City Administration on behalf of the office
  • Establish and maintain positive relations with external stakeholders, such as community leagues, homeowners associations, school trustees, external agencies and organizations, and other stakeholders on behalf of the office
  • Coordinate and support opportunities to engage with constituents in the Ward and assist with coordinating the Councillor\xe2\x80\x99s participation at community and outreach events
  • Provide backup coverage for Executive Assistant office duties, as required
Qualifications
  • Completion of Grade 12 and related post-secondary coursework, certification, or education
  • Minimum of 2 years of progressively responsible experience in an administrative, customer service, communications, policy and/or public relations role
  • Proficient in the use of Google Suite for word processing, correspondence, file and calendar management
  • Excellent research and analytical skills with a demonstrated ability to summarize reports, conduct research and analyze information
  • Excellent writing skills with the ability to adapt communications style to other voices, particularly in key message development, speech writing, media release, and online media
  • Experience in communications, including digital and various social media platforms, to distribute policy and program information
  • Demonstrated ability to work independently and within set timelines
  • Political acuity and proven judgment, tact, and diplomacy to handle urgent, highly sensitive and confidential matters
  • Ability to assess situations, anticipate risks and determine appropriate response/action
  • Demonstrated ability to interface with a variety of stakeholders and maintain positive relations
  • Enthusiasm for collaboration and a desire to learn new things
  • Flexibility to occasionally attend evening and weekend community events
  • Familiarity with principles and practices of municipal governance and related issues is an asset

Salary: $27.765 - $34.784 (Hourly) ; $57 973.32 - $72 628.99 (Annually)
